Create and use organisation labels

Create shared Org Labels, filter feeds by them, and understand who can edit them in beta.

Written by Tom Arbuthnot

Available in beta: Org Labels let everyone in your organisation categorise changes consistently. They are stored by ChangePilot and shared across the organisation.

Create an organisation label

  1. Open an item's label controls or label management in My Items.

  2. Create a label and choose Org Labels.

  3. Enter a clear name and choose a colour.

  4. Save the label and apply it to the relevant items.

The shared-person icon identifies an organisation label. Everyone in the organisation can see, apply and edit it in the current beta; this is not an Admin-only capability.

Find and manage shared work

Use My Items to review records carrying the label, or select it in a feed's Labels filter. Save the filtered query as a View for repeatable reviews. Personal labels appear separately as Your Labels.

Renaming, recolouring or deleting a shared label affects everyone using it. Agree its meaning with your team before changing it. Scope is chosen at creation; editing does not move a label between personal and organisation scope.

What a label does

A label is a marker you add to an item. Applying it does not create a Planner task, assign an owner, send email or complete a change. The planned Power Automate and ITSM integration is separate. Record deadlines and ownership in your team's work tracker.

Labels are not an access-control boundary. Do not use label names to separate clients that require different data access.
