Automations Overview

A quick overview of the automations feature within Chariot

Automations is a new feature within Chariot designed to streamline repetitive tasks, and are built to make your life easier by automatically triggering actions based on specific events inside Chariot.

Once enabled, Automations run in the background, takes actions, and track all actions taken to show what they've done.



How to Access Automations

  1. Click Settings

  2. Navigate to the top menu and scroll all the way to the right

  3. Select Automations

Note: The location of this feature may change in future updates.


Automations Dashboard Overview

The main Automations screen provides:

  • A list of all active and inactive automations

  • Number of jobs enrolled

  • Actions taken

  • Emails sent

  • Text messages sent

  • Time period filters to analyze performance

This dashboard gives you a quick snapshot of what’s running and how it’s performing.


Viewing Automation Details

You can click into any automation to see:

  • Which jobs were affected

  • Whether the automation has completed, is pending, or stopped

  • What actions were taken

Example: Create Task on New Lead

One common automation creates a task when a lead is generated from, Chariots web form, or an API webform. This will ensures someone on your team is reminded to follow up as new leads come in.


Viewing Automation Activity on a Job

Every job will include an Automations tab (once the feature is enabled).

From there, you can:

  • See which automations have touched the job

  • View full action history using the actions history tab

  • See timestamps and assigned team members

  • Manually stop an automation if needed

Action History View

The Action History shows:

  • What action was taken (ex: “Create Task”)

  • Who it was assigned to

  • Completion status

  • Date and time of completion

  • Which automation triggered the action


Creating a New Automation

From the Automations page, click Create Automation.

You’ll have three options:

1. Use a Template (Recommended)

Templates are pre-built automations designed for common workflows.

Examples include:

  • Create task for new API leads

  • Create task if a lead hasn’t been touched in 72 hours

  • Trigger actions when move date is 30 days away

  • Send multiple estimate follow-ups

  • Moving company–specific workflow automations

Templates are the easiest way to get started.

2. Build From Scratch

This allows full customization but may require a deeper understanding of triggers and actions.

Recommended for advanced users.

3. Use the AI Assistant (Beta)

You can describe what you want the automation to do, and the AI will build it for you.

Example:

“Create a task if a lead hasn’t been contacted within 48 hours and send a reminder email.”

⚠ Important: Always review AI-generated automations before activating them.


Best Practices

  • Start with templates

  • Review automation logic before turning it on

  • Monitor performance from the dashboard

  • Use the Automations tab inside jobs to track activity

  • Double-check AI-created automations
