This article provides an overview of the Exports page, where you can view and manage previous exports and download updated data needed.

Overview of the Exports Page

The Exports page includes the following key components:

1. Exports Table

The Exports Table displays all export files created across your organization. Each file includes essential details to help you track and manage exported data efficiently.

File Details

Each file in the table includes the following fields:

  • Export Date: The date the file was created.

  • Brands Exported: The number of brands included in the export file.

  • Created By: The user who created the export file.

The Exports Table can be sorted by clicking on any of the column headers to quickly find the desired file.

File Expiration

All exported files have a default expiration date of 1 year from the export date.


File Statuses

Each export file will have one of the following statuses:

1. Processing

When a CSV export is requested, it will appear in the Exports Table with the status "Processing." This indicates that Charm is compiling the requested data.

  • You will receive an email notification once the file is ready, or you can return to the Exports page later to check the status.

2. Ready to Export

Once processing is complete, the file status updates to "Ready to Export." You will receive an email notification when the file is ready. You can download the file by:

  • Clicking the link in the email notification.

  • Visiting the Exports page and exporting it directly from the table.

Export Options

You can choose from two export options:

  • Export Previously Exported Data:

    • Exports the same file created previously with the original selected columns.

    • No additional credits are required for organizations on a credit-based subscription.

  • Export Latest Data:

    • Creates a new export file with refreshed data based on the current release.

    • Consumes credits for organizations on a credit-based subscription.

    • Allows adding new columns that were not included in the original export.

3. Error

If a file cannot be processed, the status will be updated to "Error." No credits will be deducted for files that result in errors.

  • You can retry processing the file by clicking the Retry Export button.

  • The export date will update to reflect the retry attempt.

4. Due to Expire

All export files are retained for 1 year and will be removed after this period. To avoid losing data, export and store the file before it expires.

Expiration Notifications:

  • One month before expiration, an icon will appear next to the export date. Hovering over the icon will display the expiration date.

  • The user who created the file will receive an email notification listing files due to expire within 30 days. If the creator is no longer part of the account, administrators will receive the notification.


Managing Exports

To optimize the export process:

  • Regularly check the Exports Table for status updates.

  • Utilize sorting and filtering to locate specific files quickly.

  • Ensure necessary files are exported before expiration.
