User Roles

Terms

Definitions

Candidate

A new applicant who is slated to onboard or currently completing onboarding

Admin

A company user who has access to all platform features, can invite and remove team members, manage billing, edit company account settings, and access all candidates

Member

A company user who has access to most platform features, but cannot invite and remove team members, manage billing, or edit company accounts settings

Developer

A company user who has access to the developer dashboard feature

Viewer

A company user who only has read-only access to the candidate table and candidate profiles


Onboarding

Terms

Definitions

Path

A candidate onboarding experience as defined by role or another preferred distinction by the company

Step

A singular component of a path defined as distinct parts in the onboarding process where the company needs to collect information from a candidate or take some action

Trigger

An automated action that occurs upon a step being started or completed

Location

A geographic location (City, State) of where the company is hiring for the particular path configured by the company user and selected by the candidate during onboarding

Path Status

The status of a specific candidate's path in terms of progress and required interaction from the company user

Task

A necessary action required on the part of the company user to review the candidate's step information or take an external action

Welcome

The initial welcome screen during the onboarding path sharing information with the candidate before they begin

Pause

A screen that is presented when no further action is required by the candidate until the admin reviews and approves the candidate to advance

Completion

A screen (and automated message) presented to the candidate after they have fully completed onboarding

Rejection

A screen (and automated message) presented to the candidate if they have been rejected

Expired

A screen (and automated messages) presented to the candidate if their onboarding link has expired

Waitlisted

A screen (and automated messages) presented to the candidate if they've been waitlisted

Candidate Table

Allows company users to manage their candidates from a unified table view

Candidate Profile

Allows company users to view specific details for a candidate through a unified profile

Path Builder

Allows company users to construct and design their onboarding paths

Step Configuration

Allows company users to configure steps based on their needs and requirements, including copy changes, step setup, required integration, step review, and conditional rules

Step Templates

Allows company users to leverage pre-built step modules and triggers to construct their onboarding path

Shared Steps

Allows company users to re-use step configurations and share changes across multiple paths

Allows candidates to onboard via a self-serve portal

Invite Candidate

Allows company users to directly invite candidates via SMS or email

Team Management

Allows company users to invite or remove team members, manage their user roles, and assign them to specific candidate groupings

Developer Dashboard

Allows company users to access API keys, API logs, create webhooks, and track events

User Settings

Allows company users to edit their personal information and notification settings

Company Settings

Allows company users to edit their company information

Integrations

Allows company users to manage their integrations with 3rd party services

Branding

Allows company users to manage their branding (logo and color) for a branded candidate experience and branded outgoing platform communication

Nodes

Allows company users to manage nodes as conceptual cost centers and groupings for candidates and team members

Message

Allows company users to individually or bulk message candidates

Export CSV

Allows company users to export candidate information as a CSV

Candidate Download

Allows company users to export entire candidate documents combined into one .zip file

Task Drawers

Allows company users to manage tasks such as reviewing and approving steps and/or external actions

Candidate Custom Tags

Allows company users to add custom tags their candidates for filtering and tracking

Custom Attributes

Allows company users to leverage custom attributes formatted as {{attribute_name}} to better customize messaging and pre-fill documents

RSVP

Candidate can RSVP for meetings ahead of their scheduled interview

Help Request

Candidate are able to submit a request for help via their onboarding link which pauses the candidate and generates a task for the admin team to review

User Permissions

Allows company admins to set what their type of information their team members are able to access

Duplicate Candidate Settings

Allows company users to set restrictions around the amount of accounts a candidate can have and how many times they can start a path


Path Status

Terms

Definitions

Invited

Candidate has been invited to onboard, but has not started

In Progress

Candidate has started onboarding with no necessary action from the company user

Needs Review

Candidate has started onboarding and can proceed through but necessary action is required from the company user

Blocked

Candidate has started onboarding and cannot proceed through until necessary action from the company user is completed

Completed

Candidate has completed onboarding

Rejected

Candidate has been rejected from the onboarding process

Expired

Candidate's onboarding link has expired due to inactivity

Engaged

Candidate has been engaged as an active hire

Waitlisted

Candidate has been waitlisted


Step Status

Terms

Definitions

Not Started

The step has not been started by the candidate

Incomplete

The step has been started by the candidate but not complete

Needs Review

The step has been started or completed by the candidate but action is required by the company user to complete the step

Complete

The step has been completed by the candidate and/or the company user

Skipped

The step has been skipped by the admin or candidate
