A complete guide for students to understand the available portals, complete applications, update results, and track their applications.

Here’s a step-by-step guide video that walks you through everything you need to know about managing your applications. You can watch the video or follow the step-by-step instructions provided below in this article.

Updating Application Information

After adding your applications to your list you will be able to find the applying universities on the Applications tab that you or your counselor have added. Once you have found the university that you want to update, click on the chevron button and you will be able to find the following details.

· Application Round

· Application Deadline

· Likelihood

· Scholarship

· Documents sent by the counselor

Note:
The label previously shown as "LOR Uploaded" on the Applications page has now been updated to "LOR Requested" as shown in the screenshot above.

This change better reflects the information displayed, as the count represents the number of recommendation requests raised to teachers (recommenders added), rather than completed recommendation letter uploads.

In- Progress


Once the application is added to the applying list, it will be shown under the "In Progress" tab. You can click on the chevron on the right to view details like the study mode, likelihood, start date, round and so on. To remove an application click on the 3 dots and select "Delete Application".

Application Portals

The Applications page is categorised into 4 delivery methods based on the applications added.

  1. UK DA Applications

  2. Direct Apply

  3. Common App

  4. Other portals

United Kingdom-Direct Apply (UK-DA)

To complete the DA applications, click on "Complete application" to fill in the details.

Clicking Complete application will take you through a guided 4-step process:

  1. Get Started – Choose how you'd like to fill in your application. You can either upload a document (such as your passport) to speed up form completion, or fill the form manually, section by section.

  2. Fill the Form – Enter or confirm your application details.

  3. AI Review – Your application is reviewed to help catch errors or missing information before submission.

  4. Application Submission – Once everything looks good, submit your application to the university.

Direct Apply (DA)

To fill in all the required details, click on "Complete Application". You can also click on the 3 dots on the right to change the delivery method.

Clicking Complete application takes you through a guided 4-step process:

  1. Get Started – Upload a document (like your passport) to auto-fill the form, or fill it manually section by section.

  2. Fill the Form – Enter or confirm your application details.

  3. AI Review – Your application is reviewed for errors or missing information.

  4. Application Submission – Submit your completed application to the university.

Common App (CA)

Click Link Common App to connect your Common App account(if you haven't already). Once linked, you can add universities to your applying list.

Your counselor will upload the required documents and send them to the university. you can also:

  • Request transcripts

  • Change portal, if the university accepts documents through platforms other than Common App

UCAS

If you are planning to submit your applications through UCAS, click on the "Submit on UCAS" button. This will redirect you to the UCAS portal, where you can log in using your credentials to complete and submit your application.

Please note:

  • If you have UCAS applications in your applying list, the "Submit on UCAS" button will be visible on the application page.

    • Once all your applications have been submitted, this button will be replaced by the "Track on UCAS" button, allowing you to monitor the status of your submissions.

    • Sign in with your credentials to track the application


Other Portals

For universities that accept applications through other means, such as their own application portal or through other national/centralised portals, students should select this option.

Submitted Applications

All the submitted applications would show up under the "Submitted" tab and the students can track their applications based on the application portal chosen at the time of submitting the applications. Once the students have received their results they can update the application status/results under the "Submissions" tab.

How to Update a Student's Attending Status

  1. Navigate to the student's profile from the Students List page.

  2. Scroll to the Enrollment section within the student's profile.

  3. Locate the university the student is attending.

  4. Click the status dropdown next to that university entry.

  5. Select Attending from the dropdown options.

  6. The status will be saved automatically. A confirmation indicator will appear once the update is successful.

Note: Only one university can hold the Attending status at a time. If you set a new university to Attending, the previous Attending status will be automatically cleared.

Note: If you cannot find the college you want to update, it means it has not been added to your Applying List yet. The college must be in your Applying List before you are able to update the college with your application result.

FAQs:

What should I do if my course details are unavailable?

If you see a “Course details are currently unavailable” message when opening an application, please contact our support team through Chat with Cialfo. We’ll check the issue and help you further.

When contacting us, please share the student name, university name, and course name so we can investigate this more quickly.

What should I do if I’m unable to update the Attending status?

If you’re a counselor and you’re unable to update a student’s Attending status in the Enrollment section, try the following troubleshooting steps:

  1. The Attending option does not appear in the dropdown
    The Attending status is only available once the student has a confirmed offer recorded in their profile. Ensure the application status is set to “Offer” or “Accepted” before attempting to set the student as Attending.

  2. The status reverts after saving
    Try performing a hard refresh (Ctrl+Shift+R on Windows or Cmd+Shift+R on Mac) and then attempt to update the status again.

  3. Multiple universities show as Attending
    Only one Attending status can be active per student. If multiple universities are marked as Attending, open each entry and deselect the incorrect ones, then reconfirm the correct Attending university.

What should I do if the application count does not update after deleting an application?

The In Progress application count should update automatically after you delete an application, whether you delete a single application or multiple applications in bulk.

If the count does not update immediately after deletion, please refresh the page and check the count again.

If the count is still incorrect after refreshing the page, please contact our support team through Chat with Cialfo and share the student’s name and a screenshot of the issue. We’ll check this further and help you resolve it.

What should I do if I’m unable to select “Other Portal” for a university application?

If you’re unable to select “Other Portal” when adding a university application, please try selecting the option again. The “Other Portal” option is now available for all supported universities that accept applications through external or university-specific application systems.

If you’re still unable to select “Other Portal”, please contact our support team through Chat with Cialfo and share the university name and a screenshot of the issue. We’ll check this further and help you.

What should I do if I’m unable to add a Foundation Year application to “Other Portal”?

If you’re adding a Foundation Year application that was submitted through a university’s own application portal, you can select “Other Portal” as the application delivery method.

If you’re unable to select “Other Portal” or see an error when trying to save the application, please contact our support team through Chat with Cialfo. Share the following details so we can investigate and help you further:

  1. The student’s name

  2. The university name

  3. A screenshot or description of the error message
