Creating and Managing Ticket Tiers

What are Ticket Tiers?

Ticket tiers allow you to create and manage the different ticket options available within an event.

Each ticket tier can be configured independently, allowing you to control its price, allocation, ticket type, included guests, order limits, Dynamic Forms, add-ons and sale period.

For example, the same event could have separate ticket tiers for different admission types, event days, sessions or group bookings.

Where to Find Ticket Tiers

Ticket tiers are managed from Ticket Management within an event.

Existing ticket tiers are displayed within the Ticket Tiers section, where you can create new tiers or edit existing ones.

Creating a New Ticket Tier

To create a new ticket tier:

  • Go to Ticket Management

  • Select the Ticket Tiers tab

  • Click “+ Add tier”

  • Alternatively, click “More Actions” and select “Add Ticket Tier”

  • Enter a Tier Name

  • Add a Description (optional)

  • Work through the available settings to configure your ticket tier

  • Click “Create Tier” when finished, or “Save & Add Another” to save the tier and immediately create another

Once created, the ticket tier will appear within the Ticket Tiers section of Ticket Management.

Price & Fees

The Price & Fees section controls the ticket price and how booking fees are handled.

Base Price

Enter the Base Price (Inc. GST) for the ticket tier.

Booking Fee Handling

Select how the applicable booking fees will be handled.

A Fee Breakdown (Per Ticket) is displayed within the ticket setup, allowing you to review the fees associated with the ticket.

Important: Booking fee handling is locked once the event has been published.

Allocation

The Allocation determines the total number available for an individual ticket tier.

Enter the required number of tickets into the Allocation field.

Important: The combined allocation across all ticket tiers must add up to the event's Total Capacity.

For example, if your event has a Total Capacity of 500, the allocations across your ticket tiers must total 500. You could have:

  • General Admission – 300

  • VIP – 100

  • Early Bird – 100

Total Allocation: 500

This ensures the ticket allocations across your event align with the overall capacity set for the event.

Creating a Ticket Package

The Package option allows a single purchase to include multiple individual tickets within the same ticket tier.

This is useful for multi-day or multi-session events where one purchase should give the attendee a separate ticket for each part of their experience.

For example, a 2-Day Event Package could contain:

  • Day 1 – Friday event access

  • Day 2 – Saturday event access

The price entered for the ticket tier applies to the entire package, rather than to each individual ticket within the package.

Setting Up a Package

Under Tickets in this package, enter the number of individual tickets that should be included with each purchase.

For example, entering 2 will create two individual tickets for every package purchased.

Once more than one ticket is included, a separate section will appear for each ticket in the package.

Configuring Each Ticket

Expand each ticket within the Package section to configure its individual details.

For each ticket, you can set:

  • Ticket Name – Give each ticket a clear name, such as “Day 1”, “Day 2” or “Morning Session”

  • Date (optional)

  • Start Time (optional)

  • End Time (optional)

  • Location (optional)

If a location is not entered, it will default to the event location.

This allows each ticket within the package to represent a different day, session, time or location while still being sold together as one purchase.

How Package Tickets Work

Each ticket within a package is issued as its own individual ticket and receives its own QR code.

This means each package ticket can be scanned and checked in separately using the Circolo Scanning App.

For example, if an attendee purchases a two-day package containing Day 1 and Day 2, they receive two separate tickets. Their Day 1 ticket can be scanned on the first day, while their Day 2 ticket remains available for entry on the second day.

For a standard ticket tier that does not require multiple tickets, leave “Tickets in this package” set to 1.

Setting a Ticket-Specific Date, Time or Location

The Ticket Date & Time section is optional.

It allows a ticket tier to have its own:

  • Date

  • Start time

  • End time

  • Location

This is useful when an individual ticket relates to a particular part of a larger event.

For example, a two-day event could have separate tickets for Day 1 and Day 2, or a ticket could be created for a welcome dinner taking place the night before the main event.

The ticket-specific information is shown on the ticket, PDF, wallet pass and associated emails.

If these fields are left empty, the ticket will follow the event's dates and location.

Guests

The Guests section provides options for ticket tiers that include multiple attendees within a single purchase.

Included Additional Guests

Use Included Additional Guests when one purchase should include the buyer plus a specified number of guests.

For example, if you set '9 Included additional guests' the 1 ticket purchase includes 10 tickets. this can be used for a table or group ticket where one purchase includes several attendees. Each included guest receives their own ticket.

See example below:

Paid Extra Guests

You can also allow the purchaser to add additional guests at a fixed price per person.

Set:

  • Paid Extra Guests — Max to control the maximum number of additional paid guests that can be added

  • Price Per Extra Guest to set the amount charged for each additional guest

Paid extra guests are not available on package or booking-confirmation tiers.

Ticket Type & Limits

The Ticket Type & Limits section controls how the ticket is issued and how many tickets can be purchased within an order.

Ticket Type

By default, the tier will use the Default Ticket Type selected for the event.

You can override this for an individual ticket tier.

Available Ticket Types include:

Ticket with QR Code
The attendee receives a ticket with a QR code that can be scanned for entry using the Circolo Scanning App.

Booking Confirmation Only
The attendee receives confirmation of their booking without a QR code, PDF ticket or wallet pass.

Allowing Promo Codes

Use Allow Promo Codes to control whether promotion or discount codes can be applied to the ticket tier.

When enabled, eligible promo codes can be used when purchasing the ticket.

Setting Order Limits

Order Limits allow you to control the number of tickets that can be purchased within an order.

You can set:

  • Minimum per order

  • Maximum per order

Use 0 if you do not want to apply a minimum or maximum.

Ticket Tier Status

Allows you to set the ticket tiers status to:

  • Active

  • Sold Out

  • Hidden

Organisation

The Organisation section allows additional features to be connected to the ticket tier.

Ticket Group

Use Ticket Group (Optional) to assign the ticket tier to a ticket group.

Dynamic Form

Use Dynamic Form (Optional) to attach an existing Dynamic Form to the ticket tier.

When a Dynamic Form is attached, the relevant form requirements will be associated with purchases of that ticket tier.

Add-Ons

Use Add-Ons (Optional) to apply available add-ons to the ticket tier.

If you do not need any of these options, they can be left unselected.

Setting a Sale Window

The Sale Window is optional and allows you to control when the ticket tier is available for sale.

You can set:

  • Sale Start Date

  • Sale Start Time

  • Sale End Date

  • Sale End Time

Use these settings when you only want a ticket tier to be available during a particular period.

Saving Your Ticket Tier

Once you have finished configuring the ticket tier, you have two options.

Click “Create Tier” to save the ticket tier and finish.

Once created, the ticket tier will appear within the Ticket Tiers section of Ticket Management.

Editing an Existing Ticket Tier

Ticket tiers can be updated after they have been created.

To edit a ticket tier:

  • Go to Ticket Management

  • Find the required ticket tier

  • Click “Edit”

  • Update the required settings

  • Save your changes

This allows individual tiers to be adjusted without changing the settings of other ticket tiers within the event.

Managing Ticket Tiers Effectively

Ticket tiers give you flexibility over how different tickets within the same event are sold and managed.

By configuring each tier individually, you can create ticket options for different prices, sessions, dates, group sizes and attendee requirements while managing them all from the same event.
