How do labels work?

Labels are essentially tags, that must be created in the admin system first and then can be applied to specific events to create collections, or subsets of events for use in widgets, exporting, formatting, or other internal or external segmenting.

There are three configurations that labels can use:

Admin Only--admin applied an only visible to admins

  • Admin applied during submission or using inline edit or full edit

  • To set it up this way leave the "publicly visible" setting off, and do not fill out public prompt or instructions fields

Admin Applied, Publicly Visible--only admins can apply a label to an event, but it will be displayed on the event details page and visible to the general public

  • Admin applied during submission or using inline edit or full edit

  • To set it up this way, turn "publicly visible" on

  • Leave the public prompt and instructions field empty

Publicly Applied, Publicly Visible--Both admins and the public can apply the label to an event, and everyone can see it

  • Admins can apply during submission, using inline edit or full edit

  • Both admins and public can apply by checking a box on the submission form

  • To set it up this way, turn "publicly visible" on, enter a public prompt (this will appear on the submission form), and provide instructions if needed (this will appear on the submission form)

  • On the edit portal page for the portal desired, add this label to the "Labels for Submission Checkboxes" in the "Content and Submission Settings" section

Other things to keep in mind:

All labels are created, and reside, at the account level. Any sub-accounts will also have access.

  • Labels can be available for admin use only (default), or also made available to portals for public inclusion on the user submission form.

  • A label must be created first in the system and then be included on an individual portal before it will appear on that portal's event submission form.

  • Admin users may apply any label in their account to any event, regardless of whether that label has been included publicly on the portal.

  • For public labels, try to use prompts that are self-explanatory, eliminating the need to include instructions and improving the user experience.
