Messages: Publishing Messages & Sending Email Notifications

Learn how to publish messages to your Event Portal or send targeted email notifications to specific attendee groups.

Once you have composed a new message, you can:

  • Share with all attendees (default for new messages)

  • Target specific groups (registrants, ticket buyers, or ticket holders)

Messages can be:

  • Posted to your Event Portal (immediately or at a scheduled time)

  • Sent via email to attendees (immediately or at a scheduled time)

  • Current plans allow up to 15,000 email messages per event. This limit resets when you rollover your event.

Publish a Message to your Event Portal

Publishing a message to your Event Portal.

To publish a message to your Event Portal Web App:

  1. Go to the Event Manager App > Messages section and Edit an existing message or add a new message.

  2. In the Message tab, compose your message by setting a required Subject and Message Body.

  3. In the Share tab, select the recipients and set any filters to target a subset of your recipients.

  4. Set Publish to "Publish to Event Portal now" if you wish to publish the message immediately. To schedule a message to be published at a specific date and time, choose "Schedule publish to Event Portal" and choose the date and time.

  5. Click Save.

Remove a Message from your Event Portal

You can either Unpublish the message, or your can delete it.

To Unpublish the message:

  • Go to the Event Manager App > Messages section and Edit an existing message.

  • In the Share tab, set the Publish setting to "Not Published".

  • Click Save.

To delete the message:

  • Go to the Event Manager App > Messages section and click the Delete button.

Sending a Message as an email

A Message can also be optionally bulk emailed to selected recipients.

Emailing a message to your event recipients

To send a message:

  • Go to the Event Manager App > Messages section and Edit an existing message or add a new message.

  • In the Message tab, compose your message by setting a required Subject and Message Body.

  • In the Share tab, select the recipients and set any filters to target a subset of your recipients.

  • In the Email Delivery section, agree to the anti-spam policy, then choose "Send email now", or "Send email later" to schedule a message email.

  • Optional: Select Send copies to alternate email addresses to send a separate copy to each matching registrant who provided an alternate email address. Leave it unselected to email only the selected recipients. Alternate-email copies do not include Magic Links.

  • To send an email immediately, click the Send as Email button to send the email to the currently selected recipients.

  • The Send message email window will be displayed to inform you how many recipients will be notified. Click the Send Email button to confirm and send the email(s).

Re-sending a Message as an email

After a Message email has been sent to the selected recipients, ClearEvent keeps track of which recipients it was sent to. If you later click the Send as Email button again you will be prompted to either:

  1. Resend the email notification to only recipients that have been added since the last email was sent, or...

  2. Resend the message email to all recipients.

What does a Message email include?

Email messages include the following information:

Email messages automatically use your event’s Brand settings (colors, background image, and logo)

Message Subject

The subject line of the email that will be sent to each recipient.

Message Body

The contents of the email message. You may also include personalization placeholders, which will be substituted when the email is sent.

Message Link

If specified, the Message Link will be included after the Message Body.

Message Attachments

If attachments have been added to the Message, secured download links will be included.
