Meeting statuses

Learn about draft, published, and canceled meetings

Each ClerkMinutes meeting can have a single status at a point in time, and each status offers different functionality and permissions for the meeting.

Draft

Each meeting created from the Add meeting page is created in draft mode.

A meeting in draft mode is accessible only by logged-in municipality staff, and it is not displayed in the Meetings Portal.

Draft meetings can be easily spotted in the Meetings list, they have the Draft indicator after the meeting title.

Published

Published meetings are considered ready to be shown to residents and to display in the Meetings Portal.

When a meeting is ready to be published, head over to the meeting page, open the meeting menu and click "Publish meeting":

This action will do the following:

  • Move the meeting from "draft" mode to "published" mode. This action can't be reversed

  • Make the meeting accessible in the Meetings Portal

Canceled

If a meeting can't take place at the scheduled time, it can be marked as Canceled to let the participants know.

Head over to the meeting page, open the meeting actions menu and click "Cancel meeting":

This action will do the following:

  • Move the meeting from "published" mode to "Canceled" mode.

  • The meeting will still be accessible in Meetings Portal with a Canceled indicator alongside the title

  • If you use the [Subscriber & Notifications] feature, residents subscribed to the meeting notifications will receive an alert that the meeting has been canceled
