How to create a meeting agenda using the Agenda Builder

The Agendas are an important resource in creating the minutes. It tells the AI what to focus on while listening through the recording. Agendas can be imported or created. Here’s how to create a meeting agenda:

1. Access the Agenda Builder

  1. Navigate to the Meetings Overview page.

  2. Select and click on the specific meeting you wish to manage.

2. Add Agenda Items

Once you land on the meeting's agenda tab:

  1. Click the Add Agenda Item button.

  2. A modal will appear. Fill in the relevant fields for your item:

    • Title & Description: Define the topic under discussion.

    • Speaker: Assign the individual leading the item.

    • Attachments: Upload supporting documentation.

    • Internal Notes: Add private context for staff (not visible on the final public agenda).

  3. Choose how you want to save:

    • Save and Add Agenda Item: Saves the current item and keeps the modal open so you can quickly add the next topic.

    • Add Item: Saves the item and closes the modal.

3. Organize and Edit Items

You can easily refine your agenda layout directly from the list view:

  1. To Edit: Hover over the agenda item, click the ellipsis menu (three dots), and select Edit Item.

  2. To Reorder: Hover over an item, click and hold the draggable icon (drag handles), and move the item to its new position.

4. Customize the Layout (Optional)

To modify the overall visual presentation of your document:

  1. Click the File button in the editor toolbar.

  2. Select Template Settings to customize the styling, spacing, or structural content of your agenda.

  3. For a faster way to reach your Template Settings, just hover over the agenda header and click the ⚙ Customize Header button. Keep in mind that updating these settings will apply the new changes to every meeting associated with the selected department.

5. Publish Your Agenda

Once you are satisfied with the agenda:

  1. Click the Publish Agenda button located in the toolbar section.

  2. What happens next? Once published, the finalized agenda will automatically appear on your public calendar alongside your official meeting details.

6. Export Your Agenda

If you would like to export your agenda as a PDF:

  1. Click on the Download button located in the toolbar section.

  2. From the dropdown, select Agenda

  3. A new tab opens up containing your Agenda PDF, move your mouse to the top right corner of the PDF viewer and click the Download icon ( ) to save the file to your computer.


Note:

  • After the agenda is published and the meeting start time has elapsed the agenda can no longer be edited.

  • If you used the Agenda Builder to create your agenda, you cannot upload a pre-made agenda packet. Instead, you can generate an agenda packet automatically within the builder by adding attachments directly to your agenda items.
