How to Use Email to Engage with Your Prospects

Send personalized emails in bulk or individually directly from the Lead Manager Screen using templates, snippets, and dynamic fields to improve engagement and efficiency.

Overview

The Email Editor in SalesExec provides a user-friendly interface for communicating with your prospects. You can send emails individually or in bulk, leverage pre-built templates for consistency, and personalize messages using dynamic fields that pull information directly from lead profiles and your system.

Key Functionalities

  • Bulk Email Sending: Select multiple leads and send the same email or template to all of them simultaneously.

  • Template & Snippet Library: Use pre-made email templates and reusable text snippets to save time and maintain brand consistency.

  • Dynamic Field Merging: Automatically insert lead-specific data (like first name) and system data (like your display name) using merge fields.

  • Email Conversation History: View the complete email thread with any lead directly within their profile.

  • CC/BCC Capabilities: Include additional recipients using CC and BCC fields when needed.

How to Send an Email

Step 1: Access the Email Option

  1. From the My Leads screen (Lead Manager Screen), select the checkbox next to one or more leads.

  2. Click the Email button in the header menu. Alternatively, open a single lead to access the Lead Details Screen and find the email option there.

Step 2: Compose Your Message

  1. In the email composer, you can:

    • Write a new message from scratch, or

    • Click Use Template to select a pre-configured template.

  2. Personalize the content using Dynamic Field Tags (e.g., {FirstName}, {User:DisplayName}) that auto-populate from the lead or system data, or your user profile's details. (1a, 1b)

  3. Use the Insert Template or Insert Snippet buttons to add saved content blocks. (2)

  4. Click CC or BCC to add those fields to the email if needed. (3)

  5. Add attachments by clicking Select files....

  6. Click Send Email.


How to View Email Conversation History

Method 1: From the Lead List

  1. In My Leads, select a specific lead.

  2. Click the Email button in the header.

  3. Choose View Email Conversation from the dropdown to see the full thread.

Method 2: From Lead Details

  1. Open a lead to access the Lead Details Screen.

  2. Click on the Emails tab.

  3. Click the View Conversation button to see the complete history, or click the eye icon next to individual emails.

Best Practices

  • Personalize with dynamic fields: Always use {FirstName} (the default field name in record types) and other relevant fields to further engage users and increase open and response rates.

  • Utilize templates for common messages: Save time and ensure consistency on frequently sent emails like introductions or follow-ups.

  • Review conversation history before replying: Check previous emails to maintain context and avoid repeating information.

  • Use BCC judiciously: When sending bulk emails, use BCC to protect lead privacy and prevent reply-all chains.

  • Utilize email nurture campaigns: Send targeted emails based on specific criteria to ensure appropriate, relevant follow-up based on your prospect's needs or pipeline status.

Troubleshooting

  • Email does not appear in the lead's conversation history
    The email may have failed to send. Check the send status and verify your email sync is active. Look for error messages in the composer's status bar.

  • Dynamic field tags show as raw code (e.g., {FirstName})
    Ensure you are using the correct field syntax and that the selected lead actually has data in that field. Test with a lead that has complete information.

  • Cannot select multiple leads for bulk email
    Verify you are on the My Leads screen and have the necessary permissions to send bulk emails.

  • "View Email Conversation" option is missing
    You may be selecting multiple leads. This option is only available when a single lead is selected.
    Navigate to the lead's Details Screen and check the Emails tab as an alternative.

  • Template or snippet library is empty
    Contact your administrator. Templates and snippets need to be created and shared at the system or team level before they appear in your library.
