How to Close a Lead from Lead Manager

Overview

Closing a lead is a critical step for accurate sales reporting and attribution. It moves the lead to a final 'won' or 'closed' status, which feeds data into reports that track sales performance by user and lead source. SalesExec provides two primary methods to close a lead: through a configured workflow action or manually via the Lead Manager Screen.

  • Workflow Action Close: Admins can add a "Close Lead" operation to any workflow action, with configurable credit options.

  • Manual Close Permission: Users with the Manual Close Lead permission can close leads directly from the lead list without taking a specific workflow action.

  • Flexible Credit Assignment: Both methods allow you to assign the "close" credit to the acting user, the lead's current owner, or a specified user.

How to Close a Lead Through the LMS View

Method 1: Using a Workflow "Close Lead" Action

Note: This method requires the action to be pre-configured by an Administrator in the Workflow Editor.

  1. A "Close Lead" action will be available within the relevant workflow status.

  2. When you select this action, the system will close the lead based on the pre-set credit option:

    • Self: Credits the close to you (the user taking the action).

    • Specified User: Prompts a pop-up to select a user to receive credit.

    • Current Assignment: Credits the close to the user the lead is currently assigned to.

Method 2: Manual Close from Lead Manager Screen

Note: This method requires the Manual Close Lead user permission.

  1. From the My Leads screen, select the checkbox next to the lead(s) you wish to close.

  2. Click the Update button in the header.

  3. From the dropdown menu, select Close.

  4. A Close Lead dialog box will appear.

  5. In the Give Credit To dropdown, select who should receive credit for the close:

    • Self: Credit yourself.

    • Specified User: Choose from a list of users.

    • Current Assignment: Credit the lead's current owner.

  6. Click Save.

Best Practices

  • Consistency is key: Use a standardized process (workflow action or manual close) across your team to ensure all closed leads are tracked uniformly.

  • Train on credit assignment: Ensure users understand the importance of correctly assigning close credit for accurate salesperson performance reporting.

  • Use workflow actions for process control: Configure closing actions within specific workflow statuses to enforce proper lead progression.

  • Audit closed lead reports: Regularly review reports that rely on closed lead data to verify the attribution is correct.

Troubleshooting

  • "Close" option is not available in the Update menu
    Verify your user role has the Manual Close Lead permission enabled.
    Confirm you have selected at least one lead.

  • Cannot assign close credit to a specific user
    If using a workflow action, the credit option may be locked to "Self" or "Current Assignment." Check with your administrator.
    In the manual close dialog, ensure "Specified User" is selected in the dropdown to see the list of users.

  • Closed lead not appearing in sales performance reports
    Verify the close was completed successfully and credit was assigned to the intended user.
    Check that the report's date range includes the date the lead was closed.

  • Action to close a lead is missing from the workflow
    The "Close Lead" action operation must be added to a workflow action by an administrator in the Workflow Editor. Contact your system admin.
