QuickBooks Desktop Integration Guide

Overview

With the help of this integration guide, you will be able to download and install the setup to integrate with QuickBooksDesktop 23 and above (Windows OS) and MUST BE DONE FROM YOUR LOCAL COMPUTER (no shared drives). Run the installations on the computer where your .QBW files exist / QuickBooksDesktop is present.

The installers are available in a shared folder HERE

1. Download and Install Desktop SDK

  • Click on the QBSDK160_x64 application. This opens up an installation wizard for QBD SDK Setup.

  • Run the steps (as highlighted below) to install Quickbooks SDK.

Input your user name and organization (note - this is just for the installer, it’s not used anywhere else and can be whatever user name/organization you want):

  • Allow or grant permission to proceed with the installation.

  • After the process completes, you should see the Finish window of the installer.

2. Download the Windows Desktop Runtime

  • Click on the windowsdesktop-runtime-6.0.26-win-x64 app under the shared folder and execute the steps below.

Close the window after installation is successful.

3. Download and Install the QBDDataExtractor.msi

  • Click on the QBDDataExtractor.msi application in the shared drive to open up the installation wizard for QBDDataExtractor.

  • Execute the steps below to install the QBD Data Extractor application on your computer.

Allow the installation to proceed.

After the process completes, you should see the QBD Data Extractor shortcut on your desktop.

4. Access Setup (required only the first time QBD Data Extractor attempts to connect with .QBW file)

  • Access must be granted to the QBD Data Extractor to extract data from the .QBW file.

  • This requires to have the .QBW file open. When the Data Extractor app is executed, it requests to connect with the company file. This shows up on the QBD interface, similar to below:

  • After clicking done, the process of extracting the files automatically continues. Please wait until Data Extraction Completes successfully. (this shows up as a “Process Complete” Dialog on the QBD Data Extractor)

5. Running the QBD Data Extractor that generates QBD Data folder in your C drive

  • Open the .QBW company file on QuickBooksDesktop

  • While this file is open, double click on the QBD Data Extractor shortcut on your desktop.

  • This opens the QBD Files Generator app.

  • Before generating the data files, enter the import from, to dates and the local path where your .QBW company file resides.

    • The date range should be the most recent year of financial data you are importing from QBD into Clockwork.

    • The local path for the .QBW is where your QBD file is stored and the file must be locally saved on your computer (not a shared [G:] Drive. You must copy the local file path and input that into QBD Generator)

      • This is the path to the .QBW file. For example if the .QBW company file resides in Downloads folder on C drive for that user, the path would be: “C:\Users\mmann\Downloads\Solid Rock Roofing and Renovation, LLC - Copy.QBW”

      • There is a recording named QBD Installer 1.0 video.mp4 in this folder

  • Note: Please ensure no other QBD Company files are open in the background.

  • Click on connect. See below for example.

  • After the process completes, you will see a “Data Extraction Completed Successfully” dialog.

Click “OK” and close the extractor app.

6. Zip the Extracted QBD Data

  • Navigate to the C: drive of your computer and locate the QBD Data folder.

  • You should see data as xml files.

  • Zip this folder as it is and the created folder will be QBD Data.zip. DO NOT RENAME THE FOLDER OR FILENAMES IN THIS FOLDER.

    • Note: You can store this zip folder under a “parent” or “client” folder with the company name for organizational purposes. Be sure that when you import the file into Clockwork, you only drop the QBD Data.zip folder.

7. Import QBD Company Data on Clockwork

  • Enter the company name and click “Next”

  • Select the accounting system to integrate. Click “Connect to QuickBooks Desktop.”

  • You will be navigated to the page where this QBD Data.zip file can be uploaded. Now drag and drop the QBD Data.zip file on this file uploader. Please note that this is the file you zipped after data extraction completed successfully by the QBDDataExtractor app. See below.

  • After the file is successfully uploaded, you will be navigated to the registration step. Wait for the process to complete and for your data to load to Clockwork.

  • Click on Access account to view the imported QBD Company data on Clockwork, your company is live on Clockwork, nice work!

Note: Please note that you will run the QBD Data Extractor for each of the company files (companies you want to integrate into Clockwork). This replaces older extracted files in the QBD Data folder on your C drive for every fresh run.

In case you are using an older version of QuickBooksDesktop, store a copy of your existing .QBW company file in a safe location on your computer, download the latest QuickBooksDesktop 24, free 30 day trial (US version) and open your company file on this latest version. Run the QBDDataExtractor with this one. Plan to upgrade to QuickBooksDesktop 24 (latest version).
