How to Format Your Excel Spreadsheet for Date-Based Promotions

Learn how to correctly format your CSV file for Date-Based Promotions in Co-Kinetic, ensuring seamless uploads and accurate scheduling.

If you're setting up a Date-Based Promotion (e.g., a birthday campaign) in Co-Kinetic, it's essential that your CSV file is formatted correctly—especially the date column.

This file will be empty except for the column headers when you download it, so you’ll need to add your own data.


📌 Step 1: Add Your Test Data

Before uploading your full contact list, we recommend testing the process with a single row of data:

1️⃣ Open the CSV template.
2️⃣ Enter a test First Name, Last Name, Email (put your own email in for testing), and a Promotion Date (set to tomorrow’s date for testing).
3️⃣ Save the file.


📌 Step 2: Format the Date Column Correctly

Excel can be tricky with dates, so follow these steps to ensure it’s in the correct format:

1️⃣ Right-click the Promotion Date column.
2️⃣ Select "Format Cells."
3️⃣ Go to the Date category.
4️⃣ Scroll down and select the format:
YYYY-MM-DD (Year-Year-Year-Year-Month-Month-Day-Day) with hyphens.
5️⃣ Click OK, then save your file.

💡 Note: Even if Excel reverts back to slashes (YYYY/MM/DD) when reopening the file, as long as you set it correctly before uploading, it will work in Co-Kinetic.


📌 Step 3: Upload to Co-Kinetic

1️⃣ Go to Revenue Hub > Create a New Clinic Promotion
2️⃣ Upload your CSV file.
3️⃣ Choose the correct date format from the dropdown options.
4️⃣ Click Save—and you're good to go!

💡 Tip: If you get an error about invalid date formats, double-check that your file is saved as a CSV and that dates follow the YYYY-MM-DD format.
