How to import existing fan data to Cobrand

Ready to bring your fans from another platform into co:brand? Here’s a simple step-by-step guide to help you upload your CSV file.

Create A Drop Profile

Before uploading your fans, you’ll need to set up a Drop Profile.

  1. Go to the Drops section.

  2. Click Get Started.

  3. Choose one of the following:

    • Generate a New Number

    • Transfer an Existing Number

      • If you're transferring an existing number, you'll find instructions on how to get your data from your current provider in the right format.

    • No SMS Required (for email-only drops)

Upload Your CSV in Fanbase

In the Fanbase tab, click the Import Fans button in the top-right corner. Select your CSV file. Only .csv files are supported. If your file is in another format open it in Excel, Go to FileExport ToCSV.

Name & Map Your Data

  1. Name Your Import: Choose a name that helps you identify the list later. A good format is: Source - Date (e.g., Mailchimp - Sept 15, 2025)

  2. Map Your Columns: Match the column headers in your CSV to the correct fields in co:brand. This ensures the data imports correctly.

    1. Supported columns: First Name, Last Name, Email, Phone Number, WhatsApp Number, TikTok Username, Instagram Username, Birthdate, Gender, IP Address, Country Code, City, State, Latitude, Longitude, Created At, Tags

Column Name

Common Formatting Mistakes

Phone Number

Must include the full international code (e.g., UK = 44, not 07)

If your import does not include a country, you must include the full international dialing code in the phone number (e.g. add a "1" at the beginning for US numbers)

Country Code

Use either full names (e.g., United Kingdom) or ISO codes (e.g., GB)

Created At and Birthdate

Use ISO format: YYYY-MM-DD

Tags

Separate tags into different columns. Use Excel’s SPLIT formula if needed. Leave cells blank if a fan has no tag.

After you have double checked that you have mapped your columns correctly, click on Confirm CSV Mapping. After you've clicked on Confirm CSV mapping, you will have to check a checkbox ensuring that you are being compliant.

After You Import Your Data

A modal will pop up showing you how many fans were successfully added. And you’ll get a downloadable CSV showing any fans that failed to import. Download this file to review and fix any issues.

For up to 8 hours after import, your fan data will not appear in Fanbase. This is expected. However, you can view it and message fans right away, in the Fan Messaging tab.

Common Errors & How To Fix Them

Error Message

Solution

Unable to Parse Phone Number

Format issue, check for missing region codes or extra digits. If you have an email, try re-uploading and removing the phone numbers.

Invalid Phone Number

Check that the phone number matches the country code. Check that all phone numbers have complete country codes, including +. If both of these fail, the number may not be valid. In that case, remove the number and just upload the email for those fan rows if you have it.

Invalid Email Address

Email is inactive. Remove the email and re-upload if you have a valid phone number.

Country Code - Invalid Country alpha2 Code

Not a valid 2 digit ISO codes. For example, UK is not valid use GB.

Unable to Parse Float

A numeric field (like latitude/longitude) contains text. Check your column mapping.

Invalid Datetime Format, expected ISO 8601

Use YYYY-MM-DD. Convert dates using Excel or Google Sheets if needed.
