Troubleshooting Word Document Uploads in Moodle

My Instructor Says My Submitted Word Document Is Corrupt or cannot Be Opened

If your instructor reports that a Word document submitted in Moodle is corrupt, damaged, or cannot be opened, the issue is usually related to the document itself rather than Moodle. The troubleshooting steps below may help resolve the problem.

Before You Begin

Before making changes, verify that you can open the document on your own device.

  1. Locate the file you submitted.

  2. Open the file in Microsoft Word.

  3. Confirm that all content appears correctly.

If the file will not open on your device, the document may be damaged and will need to be repaired, recreated, or restored from a backup copy.

Save and Submit the Document as a PDF

Converting your document to a PDF can often resolve compatibility and file corruption issues.

  1. Open the document in Microsoft Word.

  2. Select File > Save As.

  3. Choose PDF as the file type.

  4. Save the file.

  5. Open the PDF to verify that all content appears correctly.

  6. Upload the PDF to Moodle.

Always review the PDF before submitting to ensure that formatting, images, and text display properly.

Verify the File Format

Many instructors prefer or require submissions in the modern Microsoft Word format (.docx).

  1. Open the document in Microsoft Word.

  2. Select File > Save As.

  3. Choose Word Document (*.docx) as the file type.

  4. Save the document with a new file name.

  5. Upload the newly saved file to Moodle.

If your document is already a .docx file, try saving it again with a different file name before uploading.

Update Microsoft Word

Using an outdated version of Microsoft Word may cause compatibility issues when creating or opening documents.

Microsoft provides instructions for updating Microsoft 365 applications:

If you use an older version of Microsoft Office, search Microsoft's support resources for update instructions specific to your version.

Save the Document with a New Name

Sometimes a document becomes damaged during the save process.

  1. Open the original document.

  2. Select File > Save As.

  3. Give the file a new name.

  4. Save the document.

  5. Close and reopen the new file to verify it works correctly.

  6. Upload the new file to Moodle.

Check for Special Characters in the File Name

Some systems may have difficulty processing file names that contain special characters.

Avoid using characters such as:

%

&

?

/

\

Instead, use letters, numbers, underscores (_), and hyphens (-).

Example:

  • Recommended: Essay_Unit3.docx

  • Avoid: Essay #3 Final!.docx

Download and Test Your Uploaded File

After uploading your assignment:

  1. Save your submission in Moodle.

  2. Download the uploaded file from the assignment.

  3. Open the downloaded file.

If the downloaded file opens correctly, your upload was likely successful.

Try a Different Browser

If Moodle appears to upload the file successfully but your instructor cannot open it, try uploading the file again using a different browser.

Supported browsers include:

  • Microsoft Edge

  • Google Chrome

  • Mozilla Firefox

  • Safari (Mac)

Be sure your browser is updated to the latest version.

Convert the File to Another Format

If the document continues to have problems, try saving it in a different format and then resaving it as a .docx file.

  1. Open the document.

  2. Select File > Save As.

  3. Save the document as one of the following:

    • Rich Text Format (.rtf)

    • Word 97–2003 Document (.doc)

  4. Open the newly created file.

  5. Save it again as a .docx file.

  6. Upload the new version to Moodle.

This process can sometimes repair minor file corruption.

Still Having Problems?

If none of the troubleshooting steps above resolve the issue:

  1. Take a screenshot of any error messages you receive.

  2. Note the file type and file size.

  3. Contact your instructor and explain the steps you have already attempted.

  4. Contact the Cochise College Help Desk for additional assistance.

Providing details about the issue and the troubleshooting steps you have already completed can help support staff resolve the problem more quickly.
