Pause Reminders when Account in Credit

This article will show you how to automatically pause reminder communications when a customer’s account is in credit, and have them resume once the balance is no longer in credit - without changing your reminder workflows.

When a customer’s account is in credit, reminder messages can feel unnecessary.

This setting lets Collect automatically pause reminder communications until the balance is no longer in credit.

This helps keep reminders relevant and customer‑friendly, without manual intervention from your accounts receivable team.


When to use this setting

This feature is useful if you regularly manage:

  • Credit notes

  • Overpayments

  • Prepaid balances

  • Customers who draw down credit over time


What this setting does

When enabled, Collect automatically manages reminder workflows based on a customer’s account balance.

Collect will:

  • Pause reminders when a customer’s account balance is in credit

  • Automatically resume reminders once the account is no longer in credit

  • Record all reminder activity in the in‑app audit trail

This ensures reminder communications are only sent when money is actually owed.


How it works

  1. A customer’s account moves into credit (for example, due to a credit note or overpayment).

  2. Collect automatically pauses reminder sends.

  3. The pause is logged in the account audit trail.

  4. Once the account is no longer in credit, reminders automatically resume.

You do not need to edit, pause, or restart any reminder workflows manually.


How to enable pause reminders for accounts in credit

  1. Go to Settings.

  2. Navigate to Reminders.

  3. Enable Pause reminders when account is in credit.

  4. Click Save.

Once enabled, this setting applies automatically to all accounts going forward.


Audit trail visibility

Collect records reminder behaviour in the History section of each account.

The audit trail shows:

  • When reminders were sent

  • When reminders were paused

  • Why reminders were not sent (for example, account in credit)

This makes it easy to explain reminder behaviour and respond confidently to customer questions.


Frequently asked questions

Will reminders restart automatically?

Yes. As soon as the account is no longer in credit, reminders automatically resume based on your existing reminder rules.

Does this change my reminder schedules?

No. Reminder schedules stay the same. The setting only pauses reminders while the account is in credit.

Is this setting on by default?
No. This is an optional setting and is turned off by default.

Can I see when reminders were paused?
Yes. All reminder pauses and sends are visible in the in‑app audit trail.
