You can now set Project Approval Requests to automatically renew on a future date. This new feature helps general contractors streamline project approval request creation for recurring approvals. Once enabled, COMPASS will automatically create a new request with the same details on the selected date, provided the original request is completed and not cancelled.
How to enable renewals when creating a request
Navigate to Project Approval Requests and click the Create Request button.
Fill out all required fields in the Create a Project Approval Request flyout as usual.
Under the Required by field, you’ll see a toggle called Renew Request. Turn it on and a new field labelled Renewal Date will appear.
Select a renewal date (date + time). This field is required and only accepts dates in the future.
Click the Create Project Approval Request button at the bottom of the flyout when all details have been specified.
How to edit renewal settings after creation
Open the Details tab of your request (open or closed).
You’ll see the following under Request Details:
RENEWAL: shows whether renewals were enabled or not with the toggle.
RENEWAL DATE: shows the date, or a “–” if none was set.
To make changes:
Click the pencil icon.
If the Renewal toggle is on and the Renewal Date specified previously hasn’t passed, you can turn the toggle off and or update the date.
If the toggle is off, it can be turned on.
Note, the Renewal Date field cannot be edited while the toggle is off.
Previously, closed requests couldn’t be edited at all. Now, renewal settings are the only fields you can update once a request is closed as long as the Renewal Date hasn't passed.
Note, cancelled requests will not renew and cannot be edited. The toggle is switched off and disabled, but the original Renewal Date if specified remains visible for reference.
What happens on the Renewal Date
The request (with all its details) is duplicated automatically and appears under your Open Requests tab.
Renewal only occurs if the original request is completed before the Renewal Date. If it’s still open, nothing happens.
The Renewal Date on the new request will default to 1 year after the date you originally selected.
Renewals will still process even if the project is archived.
If the original Requestor is deleted, the requestor for the renewed request will default to the Primary Contact in your Company Directory.
You cannot edit renewal settings on the closed request anymore.
Instead of the toggle, you’ll see: “This request has already been renewed. You can’t modify renewal settings.”
In the History tab of the new request, you’ll see a hyperlink: “This Project Approval Request was created as a renewal of the request completed on {date}.” Clicking the hyper link opens the original request.
