Automatic W-9 Verification in COMPASS

COMPASS now requires subcontractors to verify their W-9 when they login or register, giving General Contractors confidence that the entity and tax ID on file for each subcontractor are accurate and up to date.




Automatic Data Extraction

Rather than manually entering their information, subcontractors simply upload their W-9. COMPASS uses OCR and LLM-based extraction to read the document and populate the relevant fields automatically.

This includes:

• Legal company name

• Additional/DBA company names

• Tax ID

Removing manual entry reduces typos and mismatched records, and ensures the data on file matches the document itself.

To keep tax information current, COMPASS also validates the signed date on the W-9. Only documents signed in the current or previous year are accepted;
subcontractors uploading an older W-9 will be asked to provide an updated one.

COMPASS also confirms the W-9 includes a valid signature.
Uploads missing a signature will not be accepted, and the subcontractor will be prompted to provide a signed copy.

Legal Name and DBA Extraction

COMPASS extracts both the legal company name and any DBAs from the uploaded W-9, so General Contractors have visibility into the entity being qualified. Verification of the legal name is included as part of this release; DBA verification is not yet supported and is planned for a future update.

Existing Subcontractors

This applies to subcontractors already in COMPASS, not just those joining going forward. Any subcontractor with an account created prior to this release will be required to upload their W-9 the next time they log in, bringing existing subcontractor records up to the same standard of verification.
