How to Create a Company Qualification Flow

Learn how to create a Company Qualification Flow so that you can add Subcontractors to your formal review process.

Overview

This article describes the process of creating a Company Qualification Flow, which can then be used to review Subcontractors.

  1. Having logged in as an Admin user, navigate to the Company Settings page and click the Company Qualifications button.


  2. Click the Create Flow button to begin creating a new Company Qualification Flow.


  3. On the left-hand side of the page, under the Details header, enter the following information that will help describe the Company Qualification Flow that is being created:

    • Flow Name - The name of the Company Qualification Flow being created

    • Description - Description of the Company Qualification Flow being created

    • Office(s) - Any offices associated with the Company Qualification that is being created


  4. On the right-hand side of the page, under the Company Qualification Flow header, there is the option to Allow Ad Hoc Qualifications during Review. This checkbox is optional, as it gives General Contractors the choice to allow qualifications to be assigned to a subcontractor while the subcontractor is being reviewed during this Company Qualification Flow.

    1. If this checkbox is not checked when the Company Qualification Flow is created, a qualification can only be assigned when the final stage of the Company Qualification Flow is completed.

    2. If this checkbox is checked when the Company Qualification Flow is created, a qualification can be assigned at anytime, even if the subcontractor is still being reviewed as part of the Company Qualification Flow.

  5. Below the Allow Ad Hoc Qualifications during Review checkbox are the details of Review Stage #1. This is where details of the first stage of reviews are added. To rename the Review Stage click the Pencil icon.

    1. Click the Checkmark icon when the name has been updated to save the changes.

  6. Below the Review Stage name is the Complete stage when dropdown menu. This dropdown describes the requirements that are needed to be met in order to complete the current stage and move on to the next stage.

    Clicking the dropdown menu will reveal three options:

    1. Any review is complete - When this option is selected, this stage only requires a single review from any of the individuals selected as reviewers within this stage. For example, if there are five reviewers in this stage, only one of them needs to leave a review to complete the stage

    2. All reviews are complete - When this option is selected, this stage requires all individual reviewers within the stage to leave a review to complete the stage. For example, if there are five reviewers in this stage, all five reviewers each need to leave a review to complete the stage

    3. All groups are complete - When this option is selected, all groups that have been added to the stage must have their own requirements satisfied to complete the stage. For each group, there are two options for determining when a group review is complete:

      1. Any review is complete - A single group member must leave their review

      2. All reviews are complete - All groups members must leave their review

  7. To add individuals reviewers to a review stage, click the Begin typing to search for a user dropdown menu. This will open a dropdown menu listing out users within the General Contractor. Begin typing to narrow your search of users and click their name to add them as a reviewer.

  8. To add an additional reviewer to this stage, click Add a reviewer and then repeat the steps in Step 7.



  9. To remove a single reviewer, click the X within the dropdown menu. To remove a reviewer and reduce the total number of reviewers by one, click the red X to the right of the dropdown menu.


  10. Now that the first stage of review has its requirements set, there is the option to add an additional stage. To add an additional stage, click the Insert Stage button that is below the first Review Stage.


  11. To remove an entire stage, click the Trash icon in the top right corner of the Review Stage card. Note: The final stage of review cannot be deleted.


  12. The Final Review Stage only allows a single completion requirement. This means that you will only be able to select Any review is complete from the Complete stage when dropdown menu. A single review is required to complete the final stage and ultimately assign the qualification to the subcontractor. Once the details in the Final Review Stage are populated, click the Save button to create the Company Qualification Flow.

    The Company Qualification Workflow has been created successfully as can be seen below:
