Uploading Documents on Behalf of Contractors (OCF)

This guide is based on the Old ComplyFlow (OCF) Dashboard. If you’re using the New ComplyFlow (NCF) Dashboard, refer to this guide: Uploading Documents on Behalf of Suppliers (NCF)

To upload documents on behalf of contractors, follow these steps:

Locate Contractor Records

1. Once logged in to the Old ComplyFlow Dashboard, select the Contractors tab, which defaults to the List view automatically. You can find the Contractor you want to upload documents for in the list.

2. Optionally, use the search feature. Enter keywords in the Search bar and select Filter.

3. To refine your Contractor search, select the relevant filter category dropdown and values, then select the Filter button.

Understanding the Contractor Filters

  1. Status: Contractor status (e.g., invited, active, inactive).

  2. Departments: Specific organisational departments.

  3. Contractor Categories: Contractor classification (e.g., subcontractor, vendor).

  4. Business Units: Company divisions or subsidiaries.

  5. Projects: Specific projects associated with contractors.

  6. Contractor Attributes: Additional contractor characteristics (e.g., location, certification).

  7. Project Contractor Categories: Contractor categories specific to projects.

4. Once you locate the specific Contractor, select View > Compliance.


Upload Document on Behalf of Contractors

Here’s how to upload compliance documents for Contractors in the Compliance section.

1. Select Upload on behalf of next to the document that needs to be updated.

2. Select History at the top left of the Documents table to view expired and rejected documents. Remove an uploaded document (prior to approval) by selecting Delete beside the document.

3. Fill in the required details below and select Upload File.

Understanding the Upload File fields

  1. Valid From Date: Enter the document's effective date.

  2. Expiry: Enter the document's expiration date.

  3. No expiry date required: Check if applicable.

  4. Category: Select category (auto-filled if available).

  5. Comment: Add optional notes.

Upload up to 20 files (max. 60MB total) per document request. If you're the approver (contractor owner or project role holder), documents will be automatically approved.

Delete Document (prior to approval)

If you accidentally uploaded the incorrect document, you can delete compliance documents before approval. In the Actions column, select Delete. Then, confirm by selecting OK in the popup confirmation window.

Supersede Document

You cannot just delete approved compliance documents. Here’s how to supersede or delete previously approved documents:

In the Compliance section, in the Actions column, select Supersede document. Then, confirm by selecting OK in the popup confirmation window.

View Document

Easily access and review pending compliance documents.

Option 1: Document Link

1. In the Documents column, select the document link.

2. Download and view.

Option 2: Actions Column

1. In the Actions column, select Processing Document.

2. Select View Document.

Assign/Un-assign Additional Document Categories

Manage contractor document requirements efficiently in the Contractor Details view.

1. In the Additional Documents section, you will see a dropdown and/or a list of previously assigned document categories.

2. To unassign: Select the minus icon beside the document category.

3. To assign: Select the desired document category from the dropdown and select the plus icon .
