The Business Edge Accounts Receivable Aged Analysis – By Customer report has options that enable you to see all invoices or just past due invoices. This is especially helpful in streamlining the collection call process. The A/R Aged Analysis – By Customer is located in:

There are several options when running the Aging report. The default settings above are the most common.

When running the Aging report, if you have the Branch System enabled you can choose to view one or all branches. You can also choose one or all General Ledger Accounts if you have multiple.

You can choose All Customers, a range, or a single Customer. The most common sequence is by Customer Name but it can also be generated by Customer Code

The β€œAs Of” Date applies to the Date to Age by field, you can run the Aging as of any date, there is no need to print and store an aging as you can simply run it at any time for any date.

When you use the default settings as shown above, using (5) for the Number of Periods and 30 for the Days per period, you will have 5 columns ranging from 0-30 to 120+. The smallest number of Periods you can enter is (2) which will give you columns for 0-30 and 30+.

The report can age Invoices based on the Invoice Date or the Due Date. The most common selection is Invoice Date, this is the date that will match your General Ledger value. For collection calls you may want to run it by Due Date.

how all Invoices for Customer is only used when using the Select Period option on the right. If you are omitting certain ranges you may want to see all Invoices that are open.

On the right under F3, Select Periods you have the ability to select one, all, or any combination of Periods. This is typically used when doing collection calls so you can condense the Aging to only past due ivoices

When No is selected for the Summarize Customers field, all of the Customer open Invoices are presented based on the Periods you chose to view. If you answer Yes to Summarize Customers, one line per Customer will display showing Total Open, Current Amount, along with total open for each selected period.

In this instance we chose No to Summarize Customers which will present all of the Customer open Invoices. Users can drill into a specific Invoice by clicking on it or pressing enter.

You will now be in the Invoice inquiry screen. This is a full functional Invoice inquiry where you can view basic information along with the detail lines, payment detail, Invoice totals, etc. The Invoice can be output from here as well.

In the next example we chose Yes to Summarize Customers.

One line per Customer will present with Total Open, Current Amount, as well as Total Open for each Period. If you enter or click on a line, the Customers phone number is presented on the heading.

Options on this screen include Marking an Invoice Contested, Send Statement. CRM Actions will also be shown if you have the CRM module. Additionally, users can enter Notes through the internal Notes system as they make their calls. This way they can easily document conversations for future reference. They can enter a follow up date while entering the Note, and the system will remind them with an e-mail and pop-up to check to be sure the Customer followed through with any payment commitments.

Users can drill into a specific Invoice by clicking on it or pressing enter which will bring you to the Invoice inquiry screen.
