Internal Notes are available throughout The Business Edge. Master records and documents have internal notes available. Utilizing Customer Notes in The Business Edge is a convenient place to record and view information as well as set reminders pertaining to your Customers. It could be a note to follow up on a Quote or promise that a Customer will be sending you a check.
We locate the Notes where Users would most likely use them. They can be found in a Customer Inquiry, Order Inquiry, Invoice Inquiry, each screen in Enter & Edit Orders, Enter and Edit Customers, the Accounts Receivable aging report, Enter & Edit Deposit, and CRM Actions.

When selecting F3, Customer Notes, existing notes will be displayed, with the most recent note on top. If you are utilizing Note Categories and have filtered the notes, you will only see the notes you chosen to include. To edit or delete a note, simply highlight the line and enter or double click on it. The note field can be edited here along with the Pop-up Alert and Follow Up Date and Time. If there is an existing Follow up that you would like to remove, you can do so by pressing or clicking F2 Remove Follow up
To enter a new note, select New Line on the right by simply pressing enter
Each Customer Note is stamped with the date and time the user entered it. Text is entered in the body of the note field. There is a user flag that can be set to default the note category per user so that each time a note is entered it will default to the user’s specific note category. For instance a user in the Accounts Receivable department doing collections, can set their note category to default to the collection note category.
Pop-Up Alerts options are No, My User Only or Security Level Listing. When you choose My user Only, each time you select the Customer, the note will pop up. If you choose Security Level Listing, a list of all security levels will display. By default all Security Levels will be set to Yes, indicated by the green check mark next to the level. The options on the right allow you to choose which Security Levels to include. The options are: Include, Do Not Include, Include All and Do Not Include All. All levels selected will see the note pop up when the Customer is selected.
When a follow up date and time is entered the user that entered the note will receive a reminder to follow up on the note. The reminder is based on a user flag and will pop up the reminder when the User logs in as well as send an email. The flag is under Edit, General Flags, Show Customer Follow-Up Notes on Login & Email. The options for this flag are as follows: All up to Today, Today Only and Never. When the Follow up Date is removed the reminders will end if you flag is set to All up to Today.
Below is an example of the pop-up Users will receive when they login. The follow up notes include all notes throughout the system. If you include the Type Column as you see below you can identify what type of Note it is.
Users also have the option to view notes, remove a follow up, as well as delete notes in the Notes Follow Up Inquiry located in: Accounts Receivable System Accounts Receivable Reports Miscellaneous A/R Reports Customer Notes Reports Notes Follow Up Inquiry
