Journal Entries can be imported into The Business Edge instead of being manually entered. This is helpful if you have a journal entry with many line items.
The first step is to create a spreadsheet with the following columns; General Ledger Account Number, Debit Amount, Credit Amount in that order. The Account Numbers need to exist in your Chart of Accounts and the spreadsheet should not include a heading row.
The next step is to save the spreadsheet as a Text Tab Delimited file in your user directory on the server.
You will now start the Journal Entry as usual in The Business Edge, filling in the Heading information, see the example below.
You will now proceed to the Detail Lines of the Journal Entry by clicking Ok or pressing escape twice. You will then be at the screen below. Click on Import Journal Entries on the right-hand side under Options.
You will now proceed to the Detail Lines of the Journal Entry by clicking Ok or pressing escape twice. You will then be at the screen below. Click on Import Journal Entries on the right-hand side under Options.
You will be prompted to select the file you would like to import. You can type in the name of your file, click the blue box, or press Spacebar and Enter to see the text files in your directory.
Below is the file being imported in this example
The system will test the General Ledger Codes. If there is a problem you will see a box like the one below. If this happens the spreadsheet simply needs to be edited and re-saved to your directory to re-import.
When the import is successful the system will prompt you to remove the file from your user directory. This is recommended so you do not accidentally pick an incorrect file in the future.
The system will then bring you to the normal Journal Entry screen where you can make any changes if needed, and then you can proceed to update the Journal entry as usual.
