Connecteam was built and designed to bring a real all-in-one solution to your business. In doing so, the platform allows you to modify your system admins' permissions to access users, features, and content in their dashboards according to their role in the company.

What Types of Access Levels Exist?
When it comes to the access level that a user can have on the platform, there are two options:
Owner: This is the highest level of access/permissions. Owners can access and manage all features, assets, and users and fully control all of the dashboard's capabilities. By default, the account creator's access level is the owner.
Admin: This may be assigned to specific features, assets, and/or users. When new managers are added, their default access level is admin.
To decide which type of permission your managers need, learn about the differences between owners and admins and, if necessary, change an admin into an owner.
Set Up the System Preferences
On Connecteam, there are general default settings that allow you to automate the process of adding admins to features/categories, assets, and smart groups. Meaning, that when you add a new admin, you can ensure they have permissions over certain content in the platform automatically.

How to Manage Admin Permissions
To manage and edit admin permissions, follow these steps:
Head to the Users page from the left sidebar.
Switch to the Admins tab on the top of the page.
Locate the Managed Groups and Permissions columns.
Here, you can set permissions for any category, asset, or group of users that your admins should manage. Let's go over these together one by one.
Category/Feature
Let's say we want to remove permissions for Emily, one of our admins, from the Forms category. To do so, I will click on her permissions tab, which opens a separate modal. In this modal, I can search for the Forms feature and uncheck all permissions from it. If I have multiple Form features added to the sidebar, I will need to remove the permissions from each Forms feature.
This will hide the Forms feature from Emily's sidebar, and she will no longer be able to access or see any Forms in the account. This process can be repeated for any other features to add or remove permissions from the sidebar and ensure that admins only see and access what is relevant to them.
Assets
Let's say Emily should have access to forms, but only to the incident report, as she is the safety manager. To do so, I can scroll down and select only the relevant form, while keeping other forms unselected, meaning Emily will only be able to see and access the incident report when entering her account.
Deep Permissions
Some features in Connecteam offer more than just basic admin access; they provide deep admin permissions. For example, with Forms, you can specify the level of control an admin has by allowing them to view submissions, edit submissions, modify the form and its settings, or add new forms.
To edit an admin's permissions, click the Permissions tab next to the relevant user. This will open a separate window where you can search for the relevant feature, in this case Forms, and choose the permissions you want to grant. For example, if you only want the admin to view form submissions without being able to edit entries or manage the form settings, simply enable the View user entries permission only.

Users
To give an admin access to specific users, you'll need to use Smart Groups. Smart Groups allow you to organize users based on criteria you define, and you can assign an admin to manage one or multiple groups as needed. This grants the admin access to all users within the group. This means they'll only have visibility of the users within those groups across the features they are managing.
We're going to set Emily as the manager of the Security group. To do so, click the managed groups section next to the admin's name, and select the Security group.
Please note! If someone is managing the All Users group, they will still see all users within the features they are managing, so make sure to uncheck that option if they should only have access to a specific group
Permission Automation & Additional Settings
Whether you are in a category, asset, or smart group, you are able to access the permission settings directly from that screen.
Here you will be able to toggle on the ability to:
Automatically add all admins to a category, asset, or group
Allow admins to add other admins to this category, asset, or group
Add or remove admins
Set their deep permissions
