Your Data Migration

Moving your data from your current system into Corksy. Remapping fields and conducting a data “clean up”.

Your current system & Corksy do not organically have ave a 1:1 match. Here is where we will create the 1:1 match.

Steps to mapping your data

  1. Phase 1 - Corksy will download your data from your current system

  2. Phase 2 - Corksy will map and clean your data, based on historic client data models

  3. Phase 3 - We will present the data to you, and discuss unique instances about your business and data fields

Timeline of Migration

  1. Step 1: Provide Corksy with current system login credentials

    1. Duration: Dependent on response of client

  2. Step 2: Corksy to export data and clean

    1. Duration: 2 week turn around time

  3. Client & Corksy to connect on the data. Client to provide changes or comments

  4. Corksy to make data changes

  5. Kick off the payment migration

    1. Duration: 2-3 weeks. Depending on response from current software provider and current payment processor

  6. Application approved (Elavon or Stripe_

  7. Connect your current software + current payment provider + Elavon or Stripe to migration card data and tokinize

  8. Corksy to ingest and map the card data

    1. Duration: 2-3 days

  9. Build account creation email

    1. Duration: 2-3 days

  10. Corksy to re-pull most recent data before the client’s go-live data in Corksy

    1. Duration: 2-3 days

  11. Upload data into your live Corksy account

  12. Go live!

Data Upload : Terms and Conditions

All clients will receive a data disclosure and detailed documentation about credit card migration from clients current CRM software and clients current payment processor into Corksy.

  1. Corksy will work diligently with the client to export, clean, and map all data fields from the clients current CRM software, into the Corksy platform. We will map all fields that we are able to import based on the structure of our platform. We do not guarantee 100% data transfer as our platform is structured and operated in a way different than your current software provider. For this fact, we cannot upload all data with a 1:1 match.

  2. Before any data is uploaded, Client & Corksy will connect on data and make necessary changes. All changes will be transparently reported.

  3. Corksy to upload data to a testing account where client can make further changes

    1. Visually see your data in the Corksy environment and provide other changes or comments

  4. Once the client sign off and approve the testing account, we will not make changes.

    1. If you want to make further changes after the testing account was approved, you will have make changes manually

Account Creation Email

  1. The account creation email will be sent to all club members where they can verify their migrated data.

    1. Migrated Club Data includes

      1. Shipping addresses

      2. Billing addresses

      3. Club Tier

      4. Club Status (active, paused, canceled)

      5. Ship or pickup preference

    2. Migrated Club Card Data includes

      1. Credit cards number

      2. CVC code

      3. Expiration Date

  2. Members will receive a magic link in the account creation email where they can set up their new club member Corksy account. This includes:

    1. Set your password

    2. Confirm shipping info is up-to-date

    3. Confirm billing info is up-to-date

    4. Confirm card details

    5. Edit shipping, billing, or card info, if needed

  3. We will coordinate with you once the migration process is complete and we are ready to create this email draft

  4. At this point, we need your domain connected to Corksy or the exact name of your URL

  5. The copy of the email will be editable by the client

Data Migrations: Expectations - What is migrated

Our systems operates and links data differently than your current system. Here are all items that our system is able to migrate.

Order History

  1. All order history is migrated. You may clean/remove old records

  2. Order history will be visible in customers accounts through POS, Admin, and customer account

  3. SKU data included in read-only format, for 3 year of history.

  4. If orders do not have a customer ID attached, AKA Guest Orders, we will assign 1 universal guest ID to 1 customer record

    1. Or you can choose not to migrate them

  5. Migrated order status can only be changed from Unfulfilled to Fulfilled

Customers

  1. All customers are exported

  2. We will identify and create a plan for duplicate emails + accounts

  3. Missing birthday, we will enter 1/1/2000 unless client manually changes them

  4. Missing first name, we will enter “Guest”

  5. Missing last name, we will enter “Customer”

  6. Birthday over 100 or under 21, we will enter 1/1/2000

  7. Missing email, we will put guest1@winery.com, guest2@winery.com

    1. Or you can choose not to migrate them

  8. We need to assign everyone a customer ID so if customer number is missing, we will assign randomly 100, 200, 300, 400

  9. Email opt-in status (unless attached as a note)

Wine Club / Subscriptions

  1. All club members are exported

  2. Club Status

  3. Order Delivery Method (pickup/ ship)

  4. Signup Date / Cancel Date

  5. Cancellation Reason

  6. Notes

  7. Club Details

    1. Primary shipping and billing address for CLUB and CUSTOMER account will be the primary shipping address from your old system

  8. Multiple addresses from order history will be uploaded however, multiple addresses from customer or club accounts will NOT be migrated

Products

  1. All products will be migrated. You may indicate those to keep / delete

  2. With 2 weeks of unresponsiveness, we will only upload products live on your current site

  3. Customer tags

Reservations

  1. If reservation data was treated like a SKU in your old system, this will be migrated

    1. However, we will not indicate tasting vs. product purchase

Payment Migration

  1. Club member and customer card data

  2. Card address is migrated from your old system, not from the payment processor

Account Creation Email

  1. We can send to any member active, paused, or canceled

  2. The template design is fixed but copy and images can be changed

Client has the ability to edit, change, or correct all migrated data.

Data Migrations: What is not migrated

Our systems operates and links data differently than your current system. Therefore, there are things we are and are not able to migrate during this transition.

Order History

  1. Order notes (this data is not exportable)

  2. Actual Pick Up Date & Ship Date. If different than Fulfilment Data, Future Pick Up Date & Ship Date

  3. Order SKU data, older than 1 year. All other orders will display order subtotal, shipping, tax, & discounts

  4. SKU data will not be shown in customer accounts but will be visible in Admin and POS

  5. Migrated orders will not be show in Corksy reporting. Only orders made through Corksy

  6. Orders status can be changed from Unfulfilled to Fulfilled but we cannot process outstanding payments from old processor

  7. Migrated orders cannot be edited or refunded (due to old CC processor - no card data is attached to migrated orders)

  8. Email notifications will not be generated on migrated orders

  9. You must process payment all your outstanding orders in your old system

  10. Shipping cannot be fulfilled through Corksy on migrated orders

  11. Order types in Corksy may differ from order types in your old system

    1. We will change all order types to our mapping: POS, Wine Club, E-Commerce, Admin Portal, Manual

    2. Client will provide the mapping

    3. All other old order types will be lost if not mapped

Wine Club / Subscription

  1. Shipping preference (FedEx, UPS)

Products

  1. Inventory

  2. COGs

  3. Product Images

  4. Collection sor other groups

  5. Bundles

  6. Product types in Corksy may differ from order types in your old system

    1. We will change all product types to our mapping: Wine, Merchandise, Food, Apparel, Other

    2. Client will provide the mapping

    3. All other old product types will be lost if not mapped

Customers

  1. Duplicated names (accounts) will not be cleaned, only duplicate emails

  2. Client may provide us with instructions on how to clean up duplicate accounts with different email address

  3. Multiple email addresses

  4. Spouce Information

  5. Username & Password

  6. Customer details: Primary shipping and billing address for CUSTOMER account will be the primary shipping address from your old system

  7. Multiple addresses from order history will be uploaded however, multiple addresses from customer or club accounts will not be migrated

Payment Migration

  1. Multiple cards (depending on payment processor)

  2. Card address is migrated from your old system, not from the payment processor

Account Creation Email

  1. We cannot send to non-members

  2. We cannot change the design layout or template

Other

  1. Discounts

  2. Reservations - If reservation data was treated like a SKU in your old system, this will be migrated. However, we will not indicate tasting vs. product purchase

  3. Shipping settings

  4. Reports exported to Excel will not include migrated orders

Unique Cases: Are you splitting your data?

Corksy is unique as we are able to split your accounts or brands into separate accounts, while sharing a common customer database. In these cases, the following risks apply:

Customers

  1. All migrated customers will be shared between two accounts

    1. We will not split customers between accounts

  2. Club memberships will not be shared between accounts. Unless otherwise noted

  3. Customer tags, addresses, email, and other info is shared

  4. Client is responsible for splitting the customer club data between the two accounts during the data migration

  5. If a customers is part of two club across different stores, they will see the club of both stores in their e-commerce account

Orders

  1. Migrated order history will be uploaded across both accounts

  2. Migrated SKU history will be uploaded across both accounts, up to 1 year

  3. Subsequent orders in Corksy will not be shared between both accounts. Only customers are shared.

  4. If migrated order status is changed in 1 account, it will not be reflected in the other

Risks

  1. Customers or club members could be duplicated

    1. Client is responsible for verifying that the split data for each account does not include duplicates

  2. Duplicated accounts may exist if customer has more than one email

    1. Our team can only clean duplicate emails

    2. Client is responsible for cleaning other duplicated accounts

  3. If you continue using your current system after our agreed upon go-live date, we are not responsible for order status changes. You must manually update these in respective accounts.
