Help New Members Get Started on CourtReserve

INTRODUCTION

  • Feature Summary: Send a welcome email to new members who have not logged in to their CourtReserve account.

  • Use Cases: There are two ways to send a welcome message: automatically when a system user adds a member to the platform and checks the welcome email box, or manually when the system user sends a message to members that have not logged in to CourtReserve.

PREREQUISITES

Know how to find and optionally customize the Welcome Email message template.

SETUP REQUIREMENTS

Automatic send

System users can enable this feature when they add a member to the platform from the admin side and want CourtReserve to automatically send the member a welcome mail.

  1. Add a new member to the platform.

  2. Scroll to the bottom of the page.

  3. Check the Send Welcome Email to the User box.

  4. Click Save & Close.

Manual Send

Use the manual option to send a Welcome Email message to members that have not yet logged into their CourtResreve accounts. System users might, for instance, use this feature after adding members to the platform with the Import tool.

  1. Go to the side menu and click MEMBERS.

  2. Expand the OTHER ACTIONS folder and click SEND WELCOME EMAIL.

The Send Welcome Email page displays. Some fields are auto-filled (e.g. From Name). The system user must fill in one required field:

  1. Click the Reply To field and select an email address. (required)

  2. Optionally, change the default setting for Filter Members by Memberships.

Scroll down the page and select the members that should receive a Welcome Email message. Optionally, check the box and select all.

This list shows members that have not logged in to CourtReserve. If a member's name is not here, that means they have logged in already and don't need the login information that the Welcome Email provides.

Reviewing the message

Scroll down the page and review the message template. Optionally, system users can add or update the text, upload a file (e.g. image or document) or use the toolbar to style or format the message. To send the message, click the Send Email button.

Adding new fields

System users can add or replace the default fields in the template message. Click the Fields label, select an option on the drop-down menu, and then click Save. Click here to learn more about configuring the Welcome Email.

FEATURE USAGE - USERS' PERSPECTIVE

New members receive a welcome email message if the system user enabled this feature.

Users click the link and create an account password. After clicking the SAVE PASSWORD button, the member portal displays.
