Give access to Insights dashboards

You can give access to Insights dashboards and control which reports they can view using dashboard permissions.

Insights dashboards provide access to different reporting data across the platform. You can control which dashboards users can access and restrict reports by brand, division, position, site, or individual user.

This is particularly useful if you need to give managers or area managers access to reports for multiple sites without changing the hierarchy.

Give access to Insights reporting dashboards

To set up Insights dashboard permissions, follow the steps:

  1. Open the Admin tool.

  2. Click Insights, then click Dashboards.

    • Not all dashboards are available to all employees. Users with Insights access may still have restricted access to dashboards containing sensitive information, such as Appraisals or Surveys.

  3. Click Toggle to activate or deactivate a dashboard.

  4. Click the visibility icon next to the dashboard that you need.

    • You can see the users who already have access to the dashboard.

    • If no permissions have been configured, the dashboard is available to all users with access to Insights.

  5. Click Add to configure visibility permissions by:

    • Brand.

    • Division ID: Only a specific division may access this report.

    • Multiuser ID: Add permission value for the Multiuser ID.

    • Position: Add permission value job ID.

    • Site: Add permission value site ID.

  6. Click Add to confirm.

Sites missing from reports despite correct hierarchy

Why can’t a user see all sites in reports?

  • If a user can't see all their sites within reports, this is usually due to reporting permissions overriding the organisational hierarchy.

  • When specific sites are added under reporting permissions, these will override the organisational hierarchy. This means:

    • The user will only see the sites explicitly added under reporting permissions.

    • Any additional sites assigned via hierarchy will not appear in reports.

If a user should see all sites

If an employee needs visibility of all sites assigned to them through the organisational hierarchy:

āœ… You only need to grant them reporting permission.
āŒ You do not need to add every site under report permissions manually.

  • If no specific sites are added under reporting permissions, the system will:

    • Use the organisational hierarchy

    • Display all sites assigned to the user through the hierarchy.
