Access the appraisal editor
To access the Appraisal Editor please follow the steps below:
📌Note: If you are a manager and don't have access to the appraisal editor address this to your Head office or use the Access Digital Assistant for further support.
Log in to campus.
Click the Appraisals widget.
Click Manage appraisals on the left sidebar.
Create a new appraisal
To create a new appraisal in the appraisal editor please follow the steps below:
Click the Manage appraisals.
Click on New Appraisal on the left sidebar.
Enter a title for your appraisal, then click Create Appraisal.
AI generated appraisals
To streamline the appraisal process and eliminate the need to start from scratch each time, you can use AI to generate appraisals in CPL Learning. To do this, follow the steps below.
Log in to campus, then click the Appraisals widget.
Click Manage Appraisals, then click Create Appraisal.
Enter the relevant details, then click Create with AI.
Complete the questions and fields that appear.
Click Generate Preview, then click Save changes.
Click Proceed then click Assignments.
Add a section to your appraisal
To add a section to your appraisal in the appraisal editor follow the steps below:
Click Manage appraisals.
Click New Appraisal on the left sidebar.
Enter a title for your appraisal, then click Create Appraisal.
To create a new section for your appraisal, click Add Section on the left sidebar.
Add a question to your appraisal
To add a question to your appraisal follow the steps below:
Click Manage appraisals.
For this example, we have chosen the Multiple Choice Question.
Click create a new Appraisal.
Add a Section and an Introduction to your appraisal.
To add a question to your section click Add on the left sidebar then, click on Question.
From the drop down box select the question type, target, and if the question is mandatory.
Enter a title and if your question requires a description enter a description.
Select your question parameter below.
Single select means the user answering the question in the appraisal will only be able to select 1 multiple-choice option
Multi Select means the user answering the question in the appraisal will be able to select multiple options.
To create a multiple-choice option appraisal click Add Option.
To allow comments on the appraisal there is a toggle to allow comments on the question. This can be toggled on or off.
Click Save Changes.
Reorder questions within your section
To reorder questions within your section of the appraisal in the appraisal editor please follow the steps below:
Click Manage appraisals.
Click the Appraisal you wish to reorder the questions.
Click the 3 Dots next to the section.
Click Reorder Questions.
You can move your questions into your desired order by clicking and dragging them.
Once you've made your changes, click on Confirm Order.
Reorder sections within your appraisal
To reorder sections within your appraisal in the appraisal editor please follow the steps below:
Click Manage appraisals.
Click the Appraisal you wish to reorder the sections for.
Click the 3 Dots next to the appraisal ttle.
Click Reorder Sections.
You can move your sections into your desired order by clicking and dragging them.
Once you've made your changes, click Confirm Order.
Assign appraisals as a manager
To assign appraisals as a manager follow the steps:
Click the Appraisals widget.
This might be named something different by your organisation.
Click My Team.
You can click on an individual to assign the appraisal, or you can use the selection boxes to assign it to multiple users.
Click New Appraisal then select the review.
Select Manager.
You will still be prompted for the manager, as you may not be the one conducting the appraisal but can delegate it to a member of your team.
Click Start Appraisal.
The system uses the configured flow of the appraisal to decide whether the team member or the manager can start the appraisal first.
Click New appraisal.
If the appraisal starts with a team member and they allocate the appraisal to themselves.
If the appraisal starts with the manager and the team member is the one that assigns it the system will notify the manager.
Configure appraisals using visibility option
To assign appraisals using the visibility option, follow the steps:
This is used to assign appraisals, especially to larger businesses.
Log in to campus.
Click the Appraisals widget.
Click Manage appraisals.
Click on the 3 Dots next to the appraisal title or directly on the appraisal.
You are now shown your assignments by default.
Click Visibility option icon.
This allows you to configure who the appraisal is available to, both as a team member or as a manager.
All the managers will be able to start that from their screen without the help of an administrator.
Team member section type the user group that you want to assign.
For example, you want to assign an appraisal to all employees within the company, you can select the All users user group.
All users user group will be allowed to be a team member of the appraisal.
Manager section type the user group that is configured with people managers or manager roles.
Click Save Selection.
This makes the form available to people.
If you click back on the appraisal you can still see the users that you've manually assigned the form, these users won't be affected.
You can filter them by clicking Assigned.
Click Not Assigned
This shows you the users from the user group that we selected in our example as a team member but haven't yet assigned themselves an appraisal.
Change the manager of the appraisal
To change the manager of the appraisal as a manager follow the steps:
Click Appraisals widget.
Click My Team then, click on the employee that you need.
Click the three dots next to the appraisal then click Change Manager.
You will still be prompted for the manager, as you may not be the one conducting the appraisal but can delegate it to a member of your team.
Type the managers name then, click again Change Manager.
Appraisal allocation
To assign the appraisal to your team on the platform in the appraisal editor please follow the steps below:
Click Manage appraisals.
Click the Appraisal you wish to assign to users.
Click Assignments in the lower right of the screen.
Click Assign Appraisal in the upper right of the screen.
Add as many employees as are required and select the appropriate manager.
Once you've selected your employees and managers click Allocate.
Modify existing allocations
To modify existing allocations for an appraisal in the appraisal editor please follow the steps below:
Click Manage appraisals.
Click the Appraisal you wish to assign to users.
Click Assignments in the lower right of the screen.
Click the three dots at the end of the allocation you wish to modify.
Click Who can see this and select the user that you need.
Click on the three dots and choose what you need to modify.
Active: This allows you to deactivate the assignment and hide it from view.
Edit status: This allows you to progress through the statuses to move it between an employee and manager or complete.
Edit Manager: This allows you to reassign the manager that needs to complete the appraisal.
Archive and Reallocate: This archives the current assignments of the appraisal retaining the existing date that has been submitted by the employee and the manager, then reallocate a fresh form, and the next time the user logs in it starts from scratch.
Remove: This allows you to remove any data that has been submitted by the employee of the manager on this form.
Edit an appraisal that has already been assigned
To edit an appraisal that has already been assigned and allocated to your team in the Appraisal Editor please follow the steps below:
Click Manage appraisals.
Click the appraisal you wish to edit to be taken through to the form.
The platform will warn you of potential side effects of editing an active appraisal.
You can edit your sections.
Click Save Changes.
Redesign appraisals with imagery
To redesign your appraisal with imagery follow the steps below:
Log in to campus.
Click the Appraisals widget.
This may be named something different within your organisation.
Click Create Appraisal or click Manage appraisals to edit existing appraisals.
Click New question then select Styling.
Click Image from the style item section, then add a title and description.
Click Upload.
Position your image: Center, left ,right ,stretch.
Click toggle to hide the title of your image.
Click Save changes.
Complete and sign off a team member appraisal
To complete a team member appraisal follow the steps below:
Log in to campus.
Click the Appraisals widget.
This may be named something different by your organisation.
Click Team then select the team member.
Select the appraisal that you need to complete, then click Save.
As part of an appraisal you may be asked to type your answer to a question.
Go back to it at a different time and keep completing it or edit your answers
Click Submit.
Once you've submitted it, you can't change your answers.
To edit answers to a submitted appraisal you can archive and reassign the appraisal.
Bulk remove, reset or archive an appraisal
To bulk remove, reset or archive an appraisal follow the steps below:
Log in to Admin tool.
Click Bulk Actions then click New Action.
Select the user groups you want to make changes to.
Click Next Step then click Appraisal.
Click Next Step and select the item you want to change.
Click Next Step and select the action for your appraisal
Reset, archive, remove permanently, remove permanently if not completed.
Click Summary then select GO.
📌Note: Changes won't be instantaneous. Please allow some time for the action to update.
Download appraisals report
To download your appraisals report follow the steps below:
Log in to campus.
Click the Appraisals widget then click Manage appraisals.
Search for the appraisal then click the three dots next to it.
Select Download Report from the drop down menu.
Your report will begin to download automatically.
Access the downloaded file in your browser
To locate your download, follow the steps below:
Click the three dots in the top-right corner of your browser.
Select Downloads from the menu.
Locate your downloaded survey report in the list and click to open it.
