Tax doesn't appear on my QuickBooks Online invoice

If tax is missing from an invoice you sent from National Estimator Cloud to QuickBooks Online, here's how to fix it.

If you add sales tax to an invoice in National Estimator Cloud (NEC), it may not show up on the invoice in QuickBooks. This happens in QuickBooks Online when sales tax isn't set up there. QuickBooks calculates tax from its own settings and ignores the tax amount NEC sends.

You can add the tax to the invoice yourself. It takes less than a minute.

Before you start

Find the final sales tax amount on your estimate in NEC. Note the amount.

Add the sales tax to your QuickBooks invoice

  1. In QuickBooks, open the invoice.

  2. Select the empty line below your last item.

  3. Under Product/Service, select the box and type Sales Tax.

  4. If Sales Tax appears in the list, select it and go to step 7.

  5. If it doesn't appear, select + Add new. Choose Service. Type Sales Tax as the name. Select Save and close.

  6. In the Amount box on that line, type your sales tax amount from NEC. Use numbers only, like 125.50. (If QuickBooks asks for a quantity or rate on the line, enter 1 for the quantity and your sales tax amount for the rate.)

  7. Check that the invoice total matches the total in NEC.

  8. Select Save.

The invoice total now matches NEC.

Things to know

  • Add this line to every invoice you send from NEC that includes tax.

  • QuickBooks treats this line as a regular charge. It won't appear in QuickBooks sales tax reports.
