There may be different types of documents that you would like the applicants to sign or download during their onboarding. For example, you may need them to sign a Privacy Notice (asking for permission to use the applicant's data) or read your organisation's policy before they start working for it.
Before adding the organisation's documents to the onboarding process, you will need to upload them to your organisation's profile on Credentially either for the whole role or a specific applicant.
There are two types of steps you may add to the onboarding flow depending on the purpose of the document: 'Read and Download Organisation’s Documents' and 'Sign Organisation’s Documents'.
'Read and Download Organisation's Documents' step of onboarding
If you have any policies or handbooks that you'd like your candidates to read, you can add the 'Download only' documents to the onboarding with the help of the 'Read and Download Organisation's Documents' step. An administrator can add this step to the onboarding process following these steps:
Click the '+ Add onboarding step' button;
Select 'Read and Download Organisation's Documents' from the pop-up list;
Write the title of the step and a short description;
Pick the role that will have to read a document;
Tick the box next to the document name.
When users, who were earlier assigned to read the organisation's documents ('Organisation Settings -> Organisation's Documents'), reach the 'Read and Download Organisation's Documents' step of onboarding, they will have to click the drop-down arrow and choose 'View' or 'Download' next to 'Download Only'.
'Sign Organisation’s Documents' step of onboarding
If you want the applicants to sign some of the organisation's documents during their onboarding, you can add the 'Signature required' documents to the onboarding with the help of the 'Sign Organisation's Documents' step. An administrator can add this step to the onboarding process following these steps:
Click the 'Add onboarding step' button;
Select 'Sign Organisation's Documents' from the pop-up list;

When applicants reach the 'Sign Organisation's Documents' step of onboarding, they will need to click on the 'Sign' button at the bottom right of the screen.
Note: Suppose an administrator chooses to upload the organisation's document as a personal one to the applicant's profile. In that case, it means that they will be able to read or sign it outside of the onboarding process. However, if the applicant has not yet reached the 'Sign Organisation's Documents' or 'Read and Download Organisation's Documents' steps of onboarding, they will be able to sign or download the personal document while going through their onboarding. When uploading a document as personal to the applicant's profile, you will see the following pop-up window:
