How to set up email filters

A simple strategy to divert the notifications you get from Credentially

Credentially notifies you about all important compliance and HR events with your organisation, like new signups, candidates who have finished onboarding and documents that are going to expire. But sometimes, not every member of the HR team and Admin team need to get all of these notifications. If this is the case, email filters can help.

Filters for Gmail

To get started with creating Gmail filters, open your Inbox and click on the little arrow icon on the right side of the search bar. 

This opens up the advanced search box, allowing you to specify several attributes of the email you're looking for. To filter emails from Credentially, enter noreply@credentially.io to the From field. Be sure to check which folder the filter will be applied to at the top of the window (the default is All Mail). Click the create filter link at the bottom to move to the next step.

Here, you'll need to decide what happens to email that hits this filter. We'd recommend selecting the following options:

  • Skip the Inbox (Archive it) to keep your Inbox clean.

  • Apply the label to store all the emails from Credentially in the separate section of your Inbox. E.g., 'Credentially Notifications'. Note, that filter will also apply to the login emails, and you may need them to access your account. So, we'd recommend to create a new label for messages from Credentially and check emails going there if needed.

  • Also apply filter to matching messages to apply to existing emails as well as future messages. 

Clicking Create filter will complete the process. Now all notifications are in the one place, and your Inbox is cleaned up.

You can review or edit your existing filters at any time. Head to the Settings gear icon in the top-right, then choose Settings. Click the Filters and Blocked Addresses tab to see them all and make changes if needed. Gmail also provides an export feature, so you can send your filters to a file to share.

Are you having trouble with the flow described above? Gmail can help with that. Tick the checkbox next to any message, then go to More > Filter messages like these. This will launch the filter window as before, but with some fields pre-filled based on the message you selected.


Filters on Outlook

First create a new folder and name it 'Credentially Notifications'.



Next, open your Outlook inbox and select a notification you got from Credentially. Then, click the small three-dot menu on the right side of the top bar. On the resulting drop-down menu, choose 'Create rule'. 


A small window opens. It suggests that you move all the emails from Credentially to the specific folder. Select the folder you just created named "Credentially Notifications" in the drop down menu.  

If you press 'OK' , from now on all emails from Credentially will be sent directly to your new folder instead of filling up your inbox. Reload your page and check if you've successfully made the changes in your Outlook!
