Professional registration checks are essential and need to be continuously verified. At Credentially, we have an integrated system which checks your professional registration number against the GMC, NMC, and HCPC databases. Regarding other registration numbers as for now, they can be collected for a manual check by the admin.
There are two ways to add professional registration number:
Upon onboarding.
While setting up onboarding, you can add the 'Professional registration' step. It will let your staff members easily enter their professional registration number, which is necessary to track their compliance.
2. By entering a number on the 'Professional registration' tab of user profile.
It is also possible to add a professional registration number manually by clicking on the 'Add Professional Registration Number'. You may do it for your staff members, or just ask them to enter it by themselves.
NOTE: Enter your PIN using uppercase letters instead of lowercase symbols. E.g. 99A9999A.
NOTE: We would advise you to leave notes in the staff's profiles if they have professional registration numbers which our system does not track automatically.
Once the correct PIN number is provided, you will see the status 'REGISTERED' on your screen.
Once an employee number is added, Credentially will automatically check their professional registration number against the GMC, NMC, and HCPC databases.
If the registration is found and there are no other compliance problems, there will be a green light and the 'complaint' status next to the staff member's name.
View History of check data and status
There is also a functionality to track GMC, NMC, and HCPC check data and statuses. If you want to look through the check's history, click on the 'View History' sign.
Check dates and statuses will be displayed, as it is showed at the screenshot below.
Frequency of professional registration checks
GMC check: every day (displays check date, status)
HCPC check: weekly (displays check date, status)
NMC check: weekly (displays check date, qualification, and status)

NMC tags
NMC OK
If you see the 'NMC OK' tag next to a staff member's name, it means that the NMC number exists; the NMC number has the status 'Registered'; it has a compliant impact on compliance status.
NOTE: Registered and valid NMC, HCPC, GMC, and other numbers are just one factor of compliance. Here you may want to read about all compliance requirements.
NMC Alert
It means that the information about the NMC number exists, this tag has one of the following statuses:
- Not currently practicing,
- Removed by a fitness to practise (FtP) panel,
- Suspended by an FtP panel,
- Voluntarily removed,
- Interim suspension order,
- Conditions of practice order,
- Interim conditions,
- Undertakings,
- Sanction pending,
or Credentially received status, which is not defined in the list of known statuses.
Also, it has a non-compliant impact on compliance status.
NMC Notice
It means that the information about the NMC number exists, this tag has one of the following statuses:
- Caution order,
- Warnings.
Also, it has a compliant impact on compliance status.
NO NMC number (PIN) means that the NMC number is not entered on Credentially; it has a non-compliant impact on compliance status.
NMC NOT FOUND means that the NMC number is not found in the register; it has a non-compliant impact on compliance status.
GMC tags
GMC OK
If you see the 'GMC OK' tag next to a staff member's name, it means that the GMC number exists; the GMC number has the status 'Registered with License' or 'Temporary registration with License'; it has a compliant impact on compliance status.
GMC Alert
It means that the information about the GMC number exists, this tag has one of the following statuses:
- Suspended,
- Not Registered - Having relinquished registration,
- Not Registered - Erased for fraudulent application,
- Not Registered - Erased after Fitness to Practise panel hearing,
- Not Registered - temporary registration expired,
- Not Registered - Deceased,
- Not Registered - Administrative Reason,
- Not Registered,
- Not Registered - Provisional Registration Expired,
or Credentially received status, which is not defined in the list of known statuses.
Also, it has a non-compliant impact on compliance status.
GMC Notice
It means that the information about the GMC number exists, this tag has one of the following statuses:
- Provisionally registered with License,
- Provisionally registered without a License,
- Temporary registration without a License,
- Registered without a License.
Also, it has a compliant impact on compliance status.
GMC Not Found means that the GMC number is not found in the register; it has a non-compliant impact on compliance status.
No GMC number means that the GMC number is not entered on Credentially; it has a non-compliant impact on compliance status.
HCPC tags
HCPC OK
If you see the 'HCPC OK' tag next to a staff member's name, it means that the information about the HCPC number exists; the HCPC number has the status 'Registered'; it has a compliant impact on compliance status.
HCPC Alert
It means that the information about the HCPC number exists, this tag has one of the following statuses:
- Deregistered Suspension,
- Deregistered,
- Interim Suspension,
or Credentially received status, which is not defined in the list of known statuses.
Also, it has a non-compliant impact on compliance status.
HCPC notice
It means that the information about the HCPC number exists, this tag has one of the following statuses:
- Registered Conditions of Practice,
- Registered Interim Conditions of Practice,
- Registered Cautioned.
Also, it has a compliant impact on compliance status.
HCPC Not Found means that the HCPC number is not found in the register; it has a non-compliant impact on compliance status.
No HCPC Number means that the HCPC number is not entered on Credentially.; it has a non-compliant impact on compliance status.
