How to delete a staff member's document?

Learn how to remove the unnecessary document from the user's profile

While reviewing your applicants' or employees' documents, you may want to delete some of them. If something about a document is wrong, you can delete it in the review form and upload another one (if previously provided), or remove it using the drop-down menu.

How to delete the unnecessary document for an applicant or employee on Credentially?

If an employee's document has a single version, an administrator should:

  1. Go to this staff member's profile;

  2. Open the 'Documents' tab;

  3. Click on the arrow next to the necessary document type name and choose 'Delete'.

4. After it, you will be redirected to the document review form, where you will be asked to review the document. The 'Delete' button will be right under the warning message. Please see the screenshot below:

5. After hitting the 'Delete' button, you will see the 'Delete document version?' confirmation pop-up window.

6. The document will be deleted after you press 'Confirm'.

The procedure described above refers to the process of deleting a document using the drop-down menu.

If you want to delete a document in its review form or if an employee's document has several versions, you should:

  1. Go to this staff member's profile;

  2. Open the 'Documents' tab;

  3. Click on the name of the document and press the bin icon on the top right-hand side of the page:

    The same can be done with a version of the document. Select the version that needs to be deleted. In the screenshot below, it is V5. When you click on it, it will become blue (1). Then press the bin icon on the top right-hand side of the review form (2):

4. After clicking on the bin icon, you will see the pop-up window asking you to confirm the removal of the document:

5. After pressing 'Confirm', the document or its version will be deleted.

Please note: A default administrator (as well as administrator roles with the 'Delete' permission from the 'Documents' permission group) can delete a document or its version no matter what its status is. However, if a default administrator or any administrator role was restricted access to the document type in the 'Compliance Requirements', they will not be able to delete users' documents.
