In this release, we have some updates around the Right to Work functionality.

We have improved the Right to Work feature due to post-Brexit legislative changes, whereby the rules for EU Citizens applying to work in the UK have changed significantly. The new Right to Work features will help guide you through the process and ensure the correct documentation is provided by the candidate and/or employee.

In addition, we have added a couple of UX improvements.

Right to work updates

We’ve made it easier to conduct a Right to Work check for British and non-British citizens on Credentially and expanded a list of supported document types that can be accepted as proof of Right to Work.

Credentially will first ask a candidate to choose British or Non-British citizenship and for non-British Citizens their Right To Work status (Permanent or Temporary). Once selected, Credentially will present the candidate with a list of acceptable documents to prove their Right to Work - based upon their previous selections.

The candidate is then required to upload one or more documents as evidence of their Right to Work in the UK. Each document shows a brief description to help the candidate choose.

Note: Rules for Citizens from The Republic of Ireland differ. Irish citizens continue to have unrestricted access to work in the UK. From 1 July 2021, they can prove their right to work using their Irish passport or Irish passport card, or their Irish birth or adoption certificate together with an official document giving the person’s permanent National Insurance number and their name issued by a government agency or a previous employer.

The screenshot below shows the four steps it takes for a candidate to submit their Right to Work documentation:

As an administrator, you will receive a corresponding notification, ‘[Applicant’s] Right to Work needs your review'.

By clicking on the orange 'Review Right to Work' button from the notification above, you will get access to the uploaded evidence of your applicant's right to work.

Note: While Credentially works as a tool to help Administrators gather all necessary documents proving a right to work of a particular employee, the ultimate responsibility for checking the validity of provided Right to Work documents lies with Administrators.

Once an applicant or employee has uploaded their documents you can review and approve, or decline. If you need to decline a particular Right to Work, when clicking the ‘Decline’ button you can provide the reason to the employee/applicant. They will then receive a notification with your comments to upload missing or valid documents.

When an administrator approves an employee/applicant’s Right to Work by clicking on the ‘Approve’ button, the following ‘Approve Right to Work’ window appears:

Read all the statements in the window above carefully and tick the checkbox to confirm that you agree with these statements and approve the provided documents.

The Right to Work check will have one of the following statuses on Credentially:

  • Pending. It is a default status for newly-added people on Credentially, provided the right to work is initiated.

  • On review. Administrators need to review all the right-to-work documents uploaded by the applicant.

  • Declined. Applicants’ or existing employees’ actions are needed.

  • Passed. Everything is okay. The approver and approval date are tracked under this status.

  • Expires soon. This status means that at least one of a right to work documents will expire soon.

  • Expired. This status means that at least one of a right to work documents has expired.

If one of the pieces of evidence of a particular person’s right to work has expired or is about to expire, the right to work status will change from ‘Passed’ to ‘On review’. Both administrators and employees/applicants will be notified if the documents have expired or expire soon.

Note: Applicants/existing employees cannot delete approved documents from the ‘Right to Work’ check tab, the same way as they cannot delete any approved documents in their personal ‘Documents’ tab.

We continue to improve our Right to Work features in line with existing government rules and will provide Share Code functionality in one of the future releases.

UX improvements

1. Increased length of answers in the questionnaires. We have extended the length of fields for responses in the Questionnaires on Credentially. Now applicants may provide answers with up to 2000 characters in the text questions.

2. Improvement of the ‘Compliance Requirements’ tab. ‘Add Document Type’ and ‘Save’ buttons were moved to new locations. Now they are consistent with the other similar buttons within Credentially. The ‘Save’ button is always visible when scrolling the page.
