1. Flexible Compliance Requirements (FCR)
We can show you how our NEW FLEXIBLE COMPLIANCE feature enables customization and management of the complex compliance requirements of your staff in a couple of clicks!
1.1 Create a new compliance package
You can create and configure a package within a couple of clicks:
TOP TIP: In the “Assignment Rules” field you can select the roles package that will be automatically added to for NEW staff members.
Default administrators have access to “Organisation Settings” and can create and edit new packages automatically. If you need other administrative roles to be able to add, edit, and view packages, grant them permissions in “Roles Management”.
1.2 Update packages at an organisation level
You can add or remove the compliance requirements for a package at any time with the option just for NEW staff members or for ALL existing staff as well:
1.3 Update a package at a staff member level
Customization of Compliance Requirements at a staff member level can be beneficial in many cases. However, there is one case that was at the top of Credentially Clients’ requests - flexibility around DBS evidence as a compliance criterion.
DBS on Update Service OR DBS Certificate as a compliance criteria
When staying on the DBS on Update Service is one of the compliance requirements for a specific Role, it goes as the mandatory compliance requirement for all the Staff Members with this Role. Yet now, with the Flexible Compliance Requirements, you have the flexibility to decide at the Staff Level whether a valid Enhanced/Standard DBS Certificate would be enough for a particular GP or Nurse.
Just open a staff member profile, click on the package, and add or delete the compliance requirement.
You can always see the customised history as it will show the “Customized Requirements” sign.
TOP TIP: Refresh the page after making any custom changes so the system recalculates the compliance for the staff member.
1. 4 How to manage staff documents
You will need to review and approve uploaded documents in the “Documents” section of the Staff member profile as normal. Once approved you will see them ticked in the package.
If a document is part of the compliance requirements for more than one package, it will be automatically ticked across all packages.
TOP TIP: Check your document compliance rules, this will dictate how your overall compliance is calculated. Go to “Organisation Settings” -> “Document Types” -> “Settings”:
1.5 General Compliance vs Package Compliance
General Compliance
It can be found in the top right-hand corner of the system, once you log in to Credentially.
It shows how many Signed Off users are compliant including all of the packages assigned to them.
Package Compliance
To check the compliance of a package, go to the “Organisation Settings” -> “Compliance Requirements”. It’s a helpful tab to monitor the compliance of your core and org specific packages.
Staff member package Compliance
To check the compliance of your Staff Member packages, click on the staff member profile -> “Dashboard”.
1.6 Two ways to request documents from the staff member in onboarding
You can easily collect all the documents you need by configuring the steps in the onboarding tab.
It can be done either via the “Document Upload” or “Mandatory document upload” steps.
When shall I use the “Document Upload” step?
You want to collect compliance documents at the different stages of the onboarding process
You want to collect the same documents from all users
When shall I use the “Mandatory document upload” step?
You have custom package requirements for candidates assigned to the same role
You want to request all documents from a candidate at once
At the “Mandatory document upload” step, your candidates will be asked to upload the documents within assigned to them packages.
TOP TIP: Documents with restricted access will not be displayed for the candidates.
2) Enhanced Sign up registration
2.1 Configure sign up link with a specific role
It will be helpful if:
You want to diminish the number of cases when your candidates sign up under inappropriate for them roles and start irrelevant to them onboarding;
You want to use the link to onboard and hire people with a specific role. The links can be placed on your website, LinkedIn account, or any hiring platform.
2.2. Choose roles open for sign-up
Do you have roles you are not hiring for at the moment? Just remove these roles from the “Open for Sign-up” list so they are not displayed to your candidates.
Note: All the roles with administrative (extended) permissions will be automatically excluded from the “Open for sign up” list. You can invite new users with these roles only using “Add Staff Member” functionality on the “Staff” screen.
3. Other improvements
3.1 Full Name displayed on DBS Check results
3.2 Check compliance packages assigned to staff members in Staff table
If you want to filter Staff members according to the packages assigned to them, use the “Compliance Packages” column of the “Staff”/“Needs Approval” table.
3.3 New Administrator Panel
