Checkr is a US cloud-based screening solution designed to help businesses of all sizes manage background verification for employees and job applicants. Checkr gives candidates transparency into their records, accurate ETAs, and the opportunity to give context around records when necessary, so that you can accelerate the hiring process and ensure a positive candidate experience.

How to connect Checkr for the first time?

To enable Checkr for your organisation, please contact support@credentially.io to enable the Checkr integration connection on Credentially. Once complete, you will need to set up a connection between your organization and Checkr, by running the following steps:

1) Go to your organisation on Credentially under your "Administrator" (default) profile

2) Then, go to "Organisation Settings" -> "Integrations" (on the left-hand panel) -> Edit (in the Actions column for Checkr) -> "Connect Checkr Account"

3) Now you should have been transferred to the Checkr page to sign in if you have an existing account, or sign up if you need to register with Checkr. When completed, you will get the "Checkr successfully connected" confirmation.

What is next? Your account has been connected successfully with Checkr and is now being verified. This can take up to 1-3 business days. Once completed you can begin submitting background checks.

Credentially note: When the integration is connected to your organisation on Credentially, Checkr will continue sending out all related notifications directly to Administrators and Staff Members. Therefore, notification texts (or notification preferences for Administrators) cannot be configured by or in Credentially. Please go to your Checkr account to make any changes.

How to submit check for staff member?

Step #1 (for Administrators to action).

Default Administrators and administrative roles with "Background checks" permissions can initiate a check for a Staff Member in a few clicks:

You may change Account Hierarchy (the Node section) in your Checkr account so it is also automatically updated on Credentially.

Credentially note: A standard package contains the list of the default screenings; however, you can request a bespoke package in your Checkr account.

Step #2 (for Staff Members to action).

Once an Administrator has assigned a check to a Staff Member, they can start completing the background check.

To do it, they need to go to "My profile" -> "Background Checks" - > "Start Check":

The Staff Member will need to click "complete invitation", and will be directed to Checkr's website. Here they will need to provide consent to run the requested check/s, and an electronic signature.

Step #3 (for Administrators)

A Staff Member has completed the Checkr form so they have finalised the submission process for some background checks. Now it's the Checkr turn to screen the Staff Member's record.

To see a status of the check and its basic details, go to Staff Member's Background Checks tab. You may also see extended details by clicking "Report Details" which will transfer you to your Checkr account.

Credentially note: The ETA for check result varies from a few days to a couple of weeks depending on what kind of screenings are included into the check package.

Statuses of check

The statuses displayed for Administrators:

  • Not Started. A Checkr check has been assigned to a Staff Member by an Administrator, but it hasn’t been started by the Staff Member.

  • Started. A Checkr check has been started by the Staff Member.

  • Pending. It means one of the below:

    • The Staff Member has completed the invitation, and the report is now in progress

    • The report has been completed with a “consider” result (the adjudication process hasn’t been started)

    • The report has been completed with a “consider” result (the adjudication process has been started, but hasn’t been completed)

  • Clear. It means one of the below:

    • The report has been completed with no issues found

    • The report has been completed with some issues found and an Administrator has decided to engage the Staff Member during the adjudication process.

  • Not Eligible. It means the report has been completed with some issues found and an Administrator has decided NOT to engage the Staff Member during the adjudication process.

  • Suspended. It means the report has been suspended after an exception occurred (e.g.: their entered SSN or Driver License was returned as invalid) and the Staff Member either did not resolve this within the 7 day window OR they entered another invalid value upon updating their data.

  • Cancelled. It means one of the below:

    • The invitation has been deleted (cancelled) before the Staff Member completed it

    • The report has been cancelled after it was started

  • Expired. The invitation has expired before the Staff Member completed it.

What check data & result Credentially displays for Administrators?

On the Credentially system default Administrators and administrative roles with "Background checks" permissions have access to:

  • Staff Member's check status

  • Created at (time)

  • Completed at (time)

  • Last updated (time)

  • Included Screenings

  • Check History. To drill down to the history of the check, click "View History" in the opened check on Credentially. You will then be able to see when and by whom certain actions on the check have been triggered:

What check data & result Credentially displays for Staff Members?

We display just some limited details for Staff Member not disclosing sensitive details. Also, instead of the "Clear" or "Not Eligible" statuses, Staff Members will see a neutral status, "Completed".
