How to configure the 'Invoice(s) moved' trigger in Zapier

'Invoice(s) moved' is triggered when invoices move from one workflow to another. Invoices can be moved manually by a user or automatically by a workflow.

Moving invoices manually

  1. Click on 'Accounts' in the main menu, then

  2. Select a customer, then

  3. Click 'Change collector' then

  4. Select the workflow you want to move them to, then

  5. Click 'Change'.

  6. The customers invoices will be moved to the selected workflow and the 'Invoice(s) moved' event will be triggered.

Moving invoices automatically using workflows

You can configure your workflows to automatically move customers to a different workflow once all 'After due date' actions have been completed, this will trigger the 'Invoice(s) moved' event in Zapier.

How to set up an 'Invoice(s) moved' Zap

The 'Invoice(s) moved' trigger includes information including:

  • The contact name

  • The details of invoice that has been moved

  • The total amount of the account (sum of invoices due)

  • The subject line and body of the 'Move to Workflow' email notification

  • The id of the workflow the invoice(s) were moved to

How to trigger a Zap when invoice(s) are moved to a specific workflow

You can trigger a Zap only when invoices are moved to a specified workflow e.g. 'Stop credit'. To do this, you will need to create a filter in your Zap which will only continue if the 'Collection Events Actions Move To Collector ID' matches the Collector ID of your Stop Credit workflow.

How to configure a filter using the ''Collection Events Actions Move To Collector ID'

As an alternative, you could create a filter using the subject line of 'Move to Workflow' email notification. To do this you need to search for the field called 'Collection Events Actions Notify Subject' then add a condition that matches some words in the email subject line.

Note this option is less reliable than using the 'Collection Events Actions Move To Collector ID', because someone could change the subject line of the email notification in CreditorWatch Collect and your Zap would cease to function.
