The Ledger summarizes all AR activity for the current period. It shows every category of transaction — payments in, credits issued, adjustments posted, finance charges assessed — and how each one affected your total accounts receivable balance. Most people use this page at the end of each month when it is time to reconcile AR and post a summary entry to their accounting software.
You do not need to use the Ledger for day-to-day AR work. It is a period-end tool.

How the Ledger Is Organized
The left panel shows the Journal Summary — a list of every category of AR activity for the period, each with a dollar amount. Read from top to bottom to see how your AR balance moved from the start of the period to the end.

Previous Balance | Your AR balance at the start of the period — carried forward from last month |
Sales | New invoices posted during the period |
Jobless Sales | Invoices not tied to a specific job or work order |
Sales Tax | Tax amounts billed on invoices |
Tax Adjustments | Corrections to previously billed tax |
Bad Debt Adjustments | Amounts written off to bad debt during the period |
Discount Adjustments | Discounts applied to invoices |
Other Adjustments | Any other adjustments that do not fall into a specific category |
Finance Charges | Interest and late fees assessed on overdue accounts |
Credit Memos | Credits issued to customers during the period |
Debit Memos | Charges added to customer accounts during the period |
Cash Receipts | Payments received and applied during the period |
Refunds | Cash refunds issued to customers during the period |
Processing Fees | Payment processing fees charged during the period |
Discrepancy | Any unexplained difference between expected and actual balances. Should be zero. |
New Balance | Your AR balance at the end of the period |
Drilling Into a Line Item
Click any line item in the left panel to see the individual transactions behind it in the right panel. For example, clicking Cash Receipts shows every payment that was applied during the period, with the customer name, date, method, and amount. The total of those transactions will match the Cash Receipts figure in the summary.
This is useful when a number on the summary looks unexpected and you want to find out what is in it.

Prior Period Comparison
The right panel shows two columns of figures for most line items: the current period and the prior period. This makes it easy to spot unusual changes — a category that is significantly higher or lower than last month may need a closer look before you post.
Exporting for Your Accounting Software
The Ledger page has an Export option in the top corner of the summary panel. You can export the period summary as a PDF for your records or as a CSV to import into your accounting software as a journal entry.
If you are posting to QuickBooks, Sage, Xero, or a similar system, the CSV export is formatted to match standard journal entry import requirements. Your accounting team or controller will typically handle this step, but anyone with access to the Ledger page can download the export.

Common Situations
It is the end of the month and you need to send AR numbers to your accountant. Go to Ledger. The Journal Summary on the left shows everything they need: the beginning balance, all activity for the period by category, and the ending balance. Use the Export button to download a PDF or CSV to send along.
The New Balance on the Ledger does not match what your accounting software shows. Check the Discrepancy line. If it shows a non-zero amount, something posted in CRO Billing is not accounted for in the summary. Drill into the line items to find what is off. If the Discrepancy is zero but the totals still do not match, the difference may be from a prior period — compare the Previous Balance to last month's closing entry in your accounting software.
You want to verify that a specific payment is included in this month's Cash Receipts. Click Cash Receipts in the left panel. The right panel will show all payments included in that figure. Search by customer name or date to find the specific payment.
The Finance Charges figure looks higher than expected. Click Finance Charges in the left panel to see the individual charges. Cross-reference with the Finance Charges section to see which accounts were charged and when.
