How to Void a Credit Memo

Voiding a credit memo cancels it and sets its balance to zero. Use this when a credit memo was created by mistake, issued to the wrong customer, or is no longer valid. Voided credit memos remain visible in the customer's history for audit purposes — they are not deleted from the system.

If you need to correct a credit memo rather than cancel it entirely — for example, to change the type or adjust the amount — edit the memo instead of voiding it. Reserve voiding for situations where the credit should not exist at all.


Before You Start

⚠️ Warning: Voiding a credit memo cannot be undone. If the credit memo has already been partially or fully applied to an invoice, you'll need to review those applications. Contact your accountant or controller before voiding a memo that has been used, as additional journal entries may be required to keep your records accurate.


Steps

1. Go to Credit Memos. Click Credit Memos in the left sidebar.

2. Find the customer and open the credit memo. Click the Credits by Account tab, then click the customer name. Click the credit memo you want to void.

3. Enter edit mode. On the credit memo detail page, click the Edit button. The memo fields become editable and the action buttons appear at the bottom of the page.

4. Click Void. Click the Void button. A confirmation dialog will appear describing what will happen — the memo amount will be zeroed out and the record will be permanently marked as void.

5. Confirm the void. Click Confirm in the dialog. The credit memo status updates to Void. Its balance becomes zero, and it will no longer appear in the Open Balance Credit Memos list or be available for application.


After Voiding

The voided credit memo remains visible in the customer's credit memo history with its status clearly marked. It will not count toward any open credit balances.

💡 Note: If you voided the wrong memo, contact your administrator. There is no undo—you'll need to create a new memo to replace it.
