How to download your reports for marketing, rewards and financial purposes

Your Project Reports


This guide explains how to access all the data you need from your project dashboard. All reports are available in CSV format, which you can open with a spreadsheet program like Microsoft Excel or Google Sheets.

You can find all your project's data in the 'Reports' section of your project dashboard, or, if you're running a Charity Profile, you'll find your reports by navigating to the 'My charity' overview page and selecting the 'Reports' tab.

Important: The reports contain sensitive information like email and postal addresses. To download a report, you'll need to tick a box to agree to the terms and enter your password.


When Can You Access Your Reports?

The timing of when you can access your reports depends on your project's funding type.

Keep What You Raise (Flexible Funding)

You can access supporter and transaction details while your campaign is live. However, it's best to wait until your project has successfully closed and you've received your funds before sending out rewards. This is because supporters can refund their pledges before the campaign ends.

All or Nothing

You can access your supporter and transaction details once your project has successfully closed.


Types of Reports Available

Here's a breakdown of the different reports you can download and what they're used for.

Rewards Report

This report lists all the details you need to send out rewards to your supporters. It includes their name, the reward they pledged for, any reward options they selected, and their postal address if the reward requires it.

Transaction Report

Use this report for financial reconciliation. It provides a comprehensive list of every transaction made to your project and includes:

  • Pledge date and time

  • Supporter name and email

  • Pledge amount, fees, and currency

  • Payment method and status

  • Gift Aid details (if applicable)

  • Payout details (bank statement reference, date processed, and expected arrival date)

Payout Reports

  • Payout Transactions Report: This report is similar to the Transaction Report, but only includes transactions that have already been paid out to your bank account.

  • Payout Summary Report: This is a summary of the payouts you've received. It shows the payout date, net amount, and any fees deducted.

Marketing Permissions and Opt-outs Report

If you need a list of supporters to contact for marketing, download this report. It lists supporters who have opted in to receive marketing communications. The most recent version of your opt-out report will also show anyone who has opted out or unsubscribed, so you should keep this list up to date to avoid GDPR breaches.

Gift Aid Report

This report is for charity fundraisers. It contains the names and addresses of supporters who made a Gift Aid declaration. The report is in an HMRC-compatible format, which makes it easier to claim Gift Aid from HMRC.

Prize Draw Report

If you're running a prize draw, this report gives you a list of all entrants.

It contains:

• Entry ID

• Supporter name

• Supporter email

• Entry date

Each entry is listed on a separate row, making it easy to select a winner at random, i.e. if a supporter buys 5 entries, there will be 5 rows with that supporter’s information on them.
