The Reports section lets you see information about your assets, customers, and revenue for the lifetime of your system.
Use reports to help make informed decisions about which kit to invest in, see your customer loyalty, and get an overview of your business costs.
Get started
To access your Reports, click the link in the top menu bar. Click into a report to work with it.
Only administrators can see Reports. If you are a non-administrator, you’ll see Favourites here. If you’d like access to reports, speak with the person who manages OnRent Events for your organisation.
Keep in mind
Income and payment reports are based on revenue from invoice figures, not opportunity figures.
Invoices that are issued, paid, or posted contribute to reports; open, voided, or deleted invoices do not.
Issued, paid, or posted credit notes will be deducted from your reports.
If you void an invoice or credit, your reports are adjusted accordingly.
When creating an invoice from an opportunity, if you choose ‘opportunity group’, ‘product group’, or ‘opportunity’, OnRent Events will distribute income to each product based on the grouping you selected.
Part invoices are not used for revenue reporting and are excluded from revenue-driven reports such as the Product Rental Income report; issue final invoices to include revenue apportioned to specific products.
OnRent Events does not include a built-in report summarising combined invoice charges and taxes; charge totals and tax totals are displayed separately.
Filter your report
Filter your report using the options at the top.
Download your report
Use the blue buttons at the top to download your report to CSV or Excel, where you can manipulate the data further.
The Stock Transactions Report
When the stock transactions report is printed, the stock transactions are displayed as numbers. Below is what each number means:
1 = Opening Balance
2 = Increase
3 = Decrease
4 = Buy
5 = Find
6 = Write Off
7 = Sell
8 = Return
9 = Make
10 = Transfer
11 = Transfer In
Stock Type Column
The Stock Type column on the Stock Transaction Report refers to the product's allowed stock method, i.e, whether the product is stocked for rental or sale.
1 = Rental
2 = Sale
Contacts with Linked Organisations Report
This report lists all the contacts you have created in the People & Organisations page, their address and contact information. If a contact is linked to an organisation, it is also listed against the contact.
Never Rented or Sold Report
A list of all your active products that have never been rented or sold. This report has a date range filter that allows you to view the product's utilisation within a timeframe.
Custom views
You can also create custom views to see and sort data, creating report-like views. For example, to address limitations in built-in reports, you can set up a custom view to display separate totals for charges and taxes. Export the data and analyse it externally to calculate combined amounts. Check out our guide to get started, see: Custom views
