Download and upload inventory check results

Count your inventory using a CSV spreadsheet, then upload to Current to create stock transactions.

Use Inventory Check in Current RMS to count your inventory. You may count using the inventory check screen and a barcode scanner or by typing assets or quantities. 

If you prefer, you may download an inventory check to a CSV spreadsheet, make changes on the spreadsheet, then upload to Current to update your counted quantities.

Get started

From an open stock check, click Download under the Actions heading.

Open the downloaded CSV file in a spreadsheet app. We recommend Google Sheets for best compatibility. 

Column headings

The columns on your exported spreadsheet mirror the columns that you see in the inventory check screen.

  • ID
    The ID is an internal identifier for this item on this particular inventory check. Leave this intact to update records by importing.

  • Asset number
    For serialized stock levels, the asset number. “Bulk Stock” is shown otherwise.

  • Name
    Product name.

  • Stock type
    Rental, sale, or all

  • Location
    The stock level location.

  • Quantity held
    The total quantity that you hold at the date of the stock check.

  • Quantity booked
    Of your held quantity, the total in the quarantine or on opportunities.

  • Quantity available
    The quantity held minus the quantity booked. This is the number that you should be looking to count.

  • Quantity counted
    The number that you’ve been counted. Current RMS will automatically count units on opportunities or in the quarantine for you.

Keep in mind that the ID here is unique to the inventory check. It’s not the same as the stock level or product ID.

Count your inventory

Use the “quantity counted” column to record the number of units counted. 

Do not change the ID column. Current RMS uses the ID column to determine which stock you have updated.

All other columns in the CSV file are ignored – these are included for your reference only. If you update the held, booked, or available columns then this will not have any impact on your inventory when uploaded.

Upload your inventory check

Be sure to save your spreadsheet as a CSV file. Use UTF-8/Unicode encoding and comma as your delimiter. 

Click Upload under Actions and choose your file.

Your counts will appear in the inventory check screen.

Review and submit stock changes

Review your counts and make any changes.

When you’re ready, submit your stock changes as normal to create transactions. See: Count your inventory using Inventory Check
