How to download forms

Learn how to download forms as PDFs or CSVs individually or in bulk

There are 2 form download options:

  • Download form as a company-branded PDF

  • Download as a CSV (only accessible via the register view)

There are 2 places where you can access form download options.

1. When viewing a single form

When you click to open a form, you can download the form as a PDF by clicking the

download PDF button located in the top left corner of the screen:

2. When viewing forms in the register view

When viewing the forms register, you can select multiple forms to download at a time. Either select multiple forms at once, or select all by clicking the checkbox in the top left.

Once you've made a selection, you'll see the download options appear along the top. There's an option to download the selected forms as a CSV, along with several PDF download options.


One final note on downloading forms - if you want to download all forms for a company-wide template, you can do this in your Template Library following the same process. This saves you needing to go into each individual project to download, and instead bulk download all records across all projects.

Downloading CSV Files

There are two ways you can download a CSV file, one is the standard download format of Dashpivot for documentation and the other streamlines filling down rows so every table row has the associated form data that can be filtered on.

Standard Download

Autofill Data

The autofill functionality facilitates a seamless transition between forms in CSV exports, where users can anticipate improved data processing efficiency, particularly within industry-standard tools such as Excel and Power BI.

  • E.g. autofill functionality will allow you to filter any table row by the form Created By, Created Date, or any other field available on the template

Standard download on the other hand, does not autofill that information but its clear structure makes it easier to read individual forms.

Creating forms with customisable PDF filenames

You can customise the filename for the single form PDF downloads via the template editor downloads settings section.

Once you click on the 'Edit PDF Filename' button in the 'Custom Filenames in PDF Downloads' section you will be able to edit the filename in the 'Edit filename' modal.

You can add/remove values in the filename structure as well as reconfigure the ordering of the values added. Once you have configured the desired filename, you can save your changes and the new filename should be updated in the template settings preview above.

Note: The downloaded filename will revert to its default if the custom filename exceeds the plan limit.

Custom Fields

You can also add up to 8 custom fields into your filename structure depending on your plan type (This feature is not supported for Standard Plans). Fields that have been added to the template will appear in the filename structure dropdown. The custom fields displayed in this section can also be used in the form thumbnail.

  • Text field (Single line only)

  • Date field

  • List field

  • Person Field

On a final note, this name appears only on file downloads generated via the form modal or on the individual files generated from the register view using the "Forms only" or "Forms and Original Photos" option. This feature is not available for register view in the Home/Team folders.
