Templates can either be created at an Organisation level (deployable across all folders in the workspace) or within a Team folder (only accessible in that specific folder).

We'd always recommend creating templates in the Home Folder, to ensure you have the option to access the templates across the workspace. This makes it easy to distribute the template to new folders/projects and allows you to see all the relevant forms in the one spot. It also ensures standardisation of your templates across different projects.

To create a template at the Organisation level:

1. Go to the Home Folder

2. Select the 'All Templates' tab

3. Click 'Add template' in the top right hand-side

4. Select 'Build your own' to create a template from scratch, or 'Use a free public template' to use an existing one from our Template Library

5. Pick between 'Timeline' and 'Workflow' for your template format. Note: Choose wisely, as you won't be able to update the template format later on

  • Timeline templates are best for recording ongoing, time-based logs without a status

  • Workflow templates are designed to manage tasks or processes that move through defined stages

Comparison between Timeline and Workflow templates:

Template Format

Timeline

Workflow

Approval Process

Not applicable

Required - forms progress through workflow columns using Approval Signatures

Notifications

Not applicable

Can be set in workflow columns, at each stage

Editing functions

At any point, by any Dashpivot Contributor that has access to the relevant folder

Each Approval Signature locks the above section of the form, preventing edits to be made without removing signature

To create a template in a specific Team folder:

1. Go to the relevant Team folder

2. Select the 'All Templates' tab

3. Click 'Add Template' in the top right hand-side

4. Select 'Build your own' to create a template from scratch, 'Use a free public template' to use an existing one from our Template Library or 'Select from Your Org Template Library' to pick an existing template from your Org Template Library

5. Pick between 'Timeline' and 'Workflow' for your template format:

  • Timeline Templates: Ongoing forms ideal for logging activities over time, such as daily site activities or maintenance tasks. They lack structured approvals and allow all folder users to amend entries

  • Workflow Templates: Designed for structured processes requiring approval stages, such as project approvals. They include notifications and editable unlocked cells based on permissions

Note: Team members are not able to add templates, only Team Controllers and above permissions
