Subject Database Management

Discover how to efficiently manage your contacts, communicate with them, update statuses, and handle other administrative tasks.

1. Filter subjects based on criteria

You can filter and search for contacts who have completed the registration survey and/or a first onsite visit, based on specific criteria.

Steps to Filter Contacts:

  1. Navigate to your Subject Database.

  2. Use the available filters:

    • Based on your database questions.

    • Based on system statuses such as subject status.

    • Based on participation in previous studies.

  3. Observe the KPI updates at the top of the screen.

  4. Review the subject rows matching your criteria.

2. Modify dashboard view

Customize the visible columns in your subject database dashboard to quickly find the most relevant contacts.

Steps to Modify the Visible Columns:

  1. Navigate to your Subject Database.

  2. Select “Active Columns”.

  3. Choose the data points to display and organize the columns.

  4. Save your changes.

3. Send a campaign

Send outbound communication to specific contacts in your database. Use filters to ensure you’re targeting the right audience.

Steps to Send a Campaign:

  1. Navigate to your Subject Database.

  2. Filter your contact dashboard.

  3. Select the visible rows.

  4. Select the option “Campaign”.

  5. Choose the communication channel.

  6. Design your message.

  7. Send your campaign to the selected contacts.

4. Subjects Statuses

Ever wondered about the various statuses a subject can have in Datacapt? We've got you covered! Subject statuses are displayed in different places, making it easy for you to manage your subject.

Where You'll See Subject Status: You'll find subject statuses in different locations, including the subjects list in a dedicated column, in the pop-up profile next to the subject’s name, and on the full profile under the subject ID in the left menu.

Different Subject Status:

  1. New:

    • Assigned when a new subject is created manually by the center staff in the database.

  2. Pending:

    • Given when a subject creates an account online from a public registration link.

  3. Active:

    • Subject becomes active based on your internal process and can participate to studies.

  4. Inactive:

    • Indicates subjects who are no longer active. A precursor to potential account cancellation. You can assign this status manually or use automation in the settings/compliance page.

  5. Paused:

    • Useful when you know a subject won't be available for a while but plans to participate in studies later.

  6. Deletion Requested:

    • Triggered when a subject requests from his/her online account to delete their profile. Requires validation by an authorized user.

Steps to Modify a Subject's Status:

  1. Navigate to your Subject Database.

  2. Search for the subject you want to modify.

  3. Open the subject’s profile in the quick-view.

  4. Modify the subject’s database status.

Notes:

  • Statuses are updated manually by center staff, depending on internal processes and controls.

  • Automations are available to manage inactive accounts, GDPR compliance, and other database maintenance tasks. Refer to the dedicated settings page for more information.
