Forms Templates Management

Templates are a powerful feature in Datacapt that allow you to save and reuse forms across multiple modules, such as the eCRF Builder, ePRO Forms, and more. This enables you to streamline form creation and standardize processes across studies.

By leveraging templates, you can save significant time, ensure consistency across studies, and simplify form creation processes.

How to Save a Template

You can save templates at various levels within the form builder:

  1. Full Template: Save the entire eCRF, ePRO, or other forms as a template.

  2. Section Template: Save a specific section of a form.

  3. Subsection Template: Save smaller subsections of a form.

  4. Question Template: Save individual questions for reuse.

Steps to Save a Template:

  • Navigate to your form builder (e.g., eCRF Builder or ePRO).

  • Use the "Save as Template" option available at the desired level (Full Form, Section, Subsection, or Question).

When you reuse a template, a copy-paste operation will occur. This allows you to adapt or modify the form created from the template for your new study. Note: Changes to the new form will not impact the original saved template.


Access and Manage Existing Templates

  1. Navigate to Global Settings.

  2. Open the "Templates" page.

  3. Select the relevant tab based on the module you’re working with (e.g., eCRF, ePRO, eConsent, Recruitment Pre-screening Survey, or Project Database).

    • Note: Tabs will only be visible if your company tenant is configured to use the corresponding module.

  4. Use the filters to search for your template.

Important Notes:

  • Editing Templates:

    • You cannot directly modify templates from the Templates page in the current Datacapt version.

    • To edit a template:

      1. Import it into the related module (e.g., eCRF).

      2. Modify the imported form as needed.

      3. Save it as a new template and delete the old template if necessary.

  • Deleting Templates: Templates can be deleted directly from the Templates page.

Importing and Exporting Templates

Templates can be imported and exported, making it easy to share them with Datacapt Support or duplicate them in another environment (e.g., another Datacapt URL used by your company).

Steps to Import/Export a Template:

  1. Navigate to Global Settings.

  2. Open the "Templates" page.

  3. To Import:

    • Click on "Import" and upload the template in JSON format.

  4. To Export:

    • Click on the Export icon next to the template you wish to download.

From this page, you can also:

  • Edit Templates: Import and modify templates as described above.

  • Delete Templates: Remove templates that are no longer needed.
