Datacapt 4.20 brings focused usability and operational improvements across EDC, CTMS, and global platform features.
This release is designed to help teams manage larger study portfolios more efficiently, adapt recruitment planning more easily, and reduce friction during user and participant onboarding.
📬 Platform - Improved registration flow for users and participants
We have fully redesigned the entire registration and onboarding experience across the platform, including user registration, participant registration, eConsent flows, database registration, and account creation. This end-to-end redesign reduces friction, limits errors, and significantly simplifies the overall onboarding journey.
The new process is simpler and faster, with fewer actions required from the user. Account confirmation is now completed using a short-lived one-time code (OTP) entered directly during registration, ensuring a smoother and more reliable onboarding experience.
The email address used for an invitation is automatically retained throughout the registration flow, and users and participants are now logged in automatically once their account is created, ensuring a seamless transition into the platform.

This improves completion rates during onboarding and reduces follow-up efforts, while maintaining a secure confirmation process.

🎨 Platform - New study boards
We have redesigned the EDC & Recruitment Study Boards to make it easier to manage and navigate a high number of studies.
What’s new?
A table view to display many EDC/Recruitment studies on a single page
Improved sorting and filtering
Ability to assign a color and pictogram to a study
Visual refinements to the existing card view
How does it work?
Use the view switch to move between card and table views
Your last selected view is saved and restored at your next login
Click on the pictogram to select a new colour and pictogram
When a color or pictogram is defined for a study, it is applied at the study level and shared across all authorized users.
You need the .. permission to personalize the cards

🎲 RTSM Randomization & Allocation - Change Center for Kits
We’ve added more flexibility to RTSM Kit Inventory management, allowing you to update the center assigned to kits after import.
This enhancement helps teams reflect real-world logistics changes directly in Datacapt, without reimporting data.
What’s new?
You can now change the assigned center for:
a single kit, or
multiple kits at once
Changes are applied directly from the Kit Inventory
All updates are fully tracked in the audit trail
How does it work?
Go to RTSM → Kit Inventory
For a single kit:
Open the row menu and select Change center
For multiple kits:
Select several kits and use the bulk action
Choose the new center and confirm
The update is applied immediately and confirmed in the interface
💡 Why it’s useful?
Kit allocation can now be adjusted quickly when logistics change, such as shipping errors, repackaging, or site switches, without breaking traceability or requiring a new import.
⚠️ Important :
The action is not available for kits with the status "Allocated"
Only active centers of the study can be selected
The action is available only to users with the permission

👥 Subject Database - Updated Participant Invitation Flow
Participant invitations from the Subject Database have been updated to align with the new confirmation process.
What’s changed?
New logic for the account creation and process
Invitations can be resent until the participant completes account confirmation
Accounts are considered active only once confirmation is completed
💡 Why it’s useful?
Participants complete their own account setup, reducing errors and ensuring accounts are easily activated before being used in studies.
📆 CTMS - Calendar Management Enhancements
We have introduced a first set of improvements to make recruitment calendar management more flexible and better aligned with recruitment needs.
Until now, adapting availability often required complex workarounds. These changes give teams more direct control before going live.
What’s new?
Events from a scheduler can be deleted directly from the calendar
Event capacities can be increased or decreased directly from the calendar even if the event are from a scheduler
Sequential planning logic is handled consistently across all visits in a sequence
Changes are applied instantly and reflected in both the calendar and the scheduler from recruitment studies
How does it work?
Delete events from the calendar
From the Calendar view, click an event and select the trash icon
Confirm deletion in the modal
The event is removed from:
the calendar
the scheduler (it is no longer bookable)
If a visit was already booked, it is automatically canceled
Sequential planning :
Deletion must always start from the first Visit
If no visit in the sequence is booked, deleting Visit 1 removes the full sequence (V1, V2, V3…)
If any visit in the sequence is booked, deletion is blocked
Key notes
In non-sequential multi-visit studies, only the selected event is deleted
A reminder encourages users to review upcoming visits if needed
Deleted events are not recoverable in this first iteration
Increase or decrease event capacity from the calendar
Click an event and select the edit icon
Update the capacity using numeric input or +/- controls
Changes are immediately reflected in both calendar and scheduler
Sequential planning :
Capacity updates must start from Visit 1
Any change applied to Visit 1 is automatically propagated to all linked visits
💡 Why it’s useful?
Recruitment teams can adapt availability in real time, remove unused slots, and keep booking options aligned with actual recruitment progress, all directly from the calendar.
⚠️ Important:
Deleted events are not recoverable
Bulk deletion is not supported
In non-sequential planning, changes apply only to the selected event
In sequential planning:
Actions must start from Visit 1
Sequences with any booked visit cannot be deleted
Direct edits on Visit 2 or later are not allowed in sequential planning
Capacity cannot be reduced below booked visits or set to 0
These safeguards ensure data integrity and predictable behavior in this first iteration.

⚙️ Platform - Settings & Interface Updates
Platform-wide font update to improve readability and interface consistency
Redesign of settings forms to make editing and saving changes clearer. You do not have to click on edit before making any changes, you just need to make sure to hit save ✅ This is available on all forms which used to have an edit button (platform, study and recruitment settings, automation page).

🐞 Bug Fix
CTMS - Recruitment studies : Fixed an issue where filters applied to recruitment pools were not fully saved, ensuring consistent pool configuration and participant targeting.

🔧 Minor Releases
Release 4.20.1 - Friday 9th January 2026
🧩 EDC
Fixed an issue where redirection to a query or question was not always working. Clicking the redirection icon from queries, missing data, or similar actions now correctly brings users to the relevant question.
📢 CTMS – Recruitment
Fixed an issue where recruitment study details, including the study description, could not be saved. In certain scenarios, the study description would disappear after saving.
Resolved an issue where participants were redirected to the wrong login page after entering their OTP. Participants are now correctly redirected to the public participant page.
⚙️ Platform
Applied several minor design and interface improvements to enhance overall usability and visual consistency.

📢 CTMS – Recruitment
Fixed an issue where participants could not be added to a recruitment slot after increasing its capacity. Capacity updates are now correctly applied, allowing additional participants to be added immediately.
Fixed a display issue where pools added while a study was in Draft were still visible in the “Recruitment pool” filter after switching the study status to Recruiting. The filter now only shows pools relevant to the recruitment phase.
