Build study reports: tables and charts

Create a table of the variables you choose, add pie and bar charts, export a table, and know when a report beats a full export

The full export gives you everything. A report gives you the ten variables you look at each Monday, in the browser, without opening Excel. Build it once, and it fills itself as sites enter data.

šŸ”‘ Prerequisite: the Reports permission on the study. A user who can open Reports sees every variable placed in a report, including questions their role cannot see in the eCRF. Choose who gets this permission with that in mind.

Build a table

šŸ› ļø Step by step guide

  1. Open the study and navigate to Reports

  2. Select New table and name it, for example "Adverse events listing"

  3. Add your columns by picking variables from the eCRF. A table holds up to 100 variables

  4. Open the menu of a column to Rename header, Change variable or Remove column

  5. Choose Display by Label to read "Severe", or Display by Number to read "3"

Each row is a subject. Use one table per question you ask of your data: one for eligibility criteria, one for adverse events, one for primary endpoint completeness.

Reuse and export a table

The table menu offers Save as template, so the same listing serves your next study, and Export table in CSV, PDF or Excel. Clean all columns empties the table and Remove table deletes it.


Add charts

šŸ› ļø Step by step guide

  1. In Reports, select Add new charts page

  2. Select New chart

  3. Choose the type: Pie or Bar

  4. Choose the Variable to count

  5. To split the bars, choose a second variable under by, for example severity by center. Datacapt draws stacked bars

  6. Select Save

A study holds up to 25 charts. Charts count answers, so they suit choice questions: sex, severity, reason for exclusion, visit completed yes or no.

šŸ’” Tip: a bar chart of "reason for screen failure" by center shows in ten seconds which site recruits outside the criteria. It is the chart to open during your monthly site call.

āš ļø Warning: each chart has a download icon at its top right. For the numbers behind it, export the matching table.


What Reports does not replace

  • The Dashboard of the study shows inclusion counts, progress and open queries.

  • Monitoring shows queries, review, SDV and missing data.

  • The ePRO compliance dashboard shows completion rates per subject.

  • The Reports entry of the main menu builds cross-database reports on participants, recruitment and payments.
