π Overview
Pay groups let you organize workers by pay schedule and frequency so payroll runs consistently for each group. You can create and manage pay groups during onboarding or at any time from your Dashboard.
π οΈ Setting Up a Pay Group
During Onboarding
When setting up your account, you'll be prompted to create your first pay schedule as part of the onboarding checklist.
Click the arrow to view the process
Click the arrow to view the process
Select Start on the Set up a Pay Schedule step.
Enter a name for the pay group in the field provided.
βοΈ Note: You can name your pay group anything you'd like. Most employers use the pay frequency as the name (for example, "Weekly" or "Bi-Weekly").
In the Pay Frequency field, select the down arrow and choose how often workers are paid.
Select Save.
π‘Tip: Once a worker completes their self-onboarding, you'll need to manually assign them to a pay group. This pay group becomes their pay schedule.
After Onboarding
If you've already completed onboarding and need to add or update a pay schedule, follow these steps from your Dashboard.

(Optional) Select This is my default pay group to automatically assign future hires to this group. If this is not selected, new workers must be manually added to a pay group.
Select Save.
β οΈ Important: Pay groups that have had payrolls processed cannot be edited. If you need to make changes to one of those groups, please contact support.
π Pay Frequency Reference
Before setting up your pay group, it helps to know which frequency works best for your business. Common options are listed below.
Pay Frequency | Payrolls per Year | Notes |
Weekly | 52 | Higher administrative workload; payroll runs every week |
Bi-weekly | 26 | Every other week (for example, every other Friday) |
Semi-monthly | 24 | Twice per month (for example, the 15th and last day of the month) |
Monthly | 12 | β |
When choosing a frequency, consider the following:
Worker preferences: Some workers prefer more frequent paychecks; others prefer larger, less frequent ones.
Administrative workload: Weekly payrolls require more frequent processing and can be more time-consuming.
Cash flow: Review your ability to meet payroll obligations on the schedule you choose.
π‘Pro Tip: It's a good idea to communicate your payroll schedule clearly to workers and run payroll on a consistent cadence. A tax professional can help you determine the best frequency for your business.
β Adding Workers to a Pay Group
Every worker must be assigned to a pay group before they can be paid. You can add workers when creating a new pay group or by editing an existing one.
